The Fred and Barbara Erb Family Foundation has made more than $180 million in grants to improve the quality of life for residents in Southeast Michigan and the Great Lakes region since launching its grantmaking in 2008. Funding has been focused on improving water quality in the Great Lakes basin; promoting environmental health and justice; advancing Alzheimer’s research; strengthening sustainable business; and supporting arts and culture and jazz education.

In May 2022, the Erb Family Foundation announced its plans to shift from a perpetual foundation to a spenddown model and conclude its grantmaking by 2034-2035. That work will be guided by the Foundation’s new mission and vision:

The Fred and Barbara Erb Family Foundation envisions a flourishing, healthy, and resilient Great Lakes ecosystem and a culturally vibrant, sustainable southeast Michigan. Toward this end, we strengthen the cultural and environmental organizations that share our vision to make this a reality for generations to come.

The Foundation’s grantmaking and way of working will also be guided by its values, which are: to make a lasting transformative difference; embrace possibility; work and learn in partnership; and pursue fairness and respect.

The grantmaking priorities for the Foundation’s spenddown were announced in October 2024 and include six areas of focus: Great Lakes, Arts and Culture, Alzheimer’s Research, Sustainable Business, Democracy, and Legacy Giving. In addition to its grantmaking, the Foundation will work closely with grant partners to learn how to better invest in their organizational health and long-term durability. Across all its activities, the Foundation’s goal is to inspire a new generation of leaders and philanthropic partners to carry on Fred and Barbara’s passions long after the Foundation is gone.

The Opportunity

In recent years, the Erb Family Foundation has grown its staff and operations and requires more support for its staff and leadership. The Office Manager will contribute to a growing team of professionals dedicated to advancing the Foundation’s mission.

The Office Manager will report to the Vice President of Administration and support Foundation leadership, work regularly with other members of the administration team, and will interact with the full team on a daily basis. The Office Manager will also engage with Foundation grantees and other partners in their work.

Core Duties and Responsibilities

Operations and Administrative Support

  • Prepare materials for team meetings
  • Gather and manage invoices, bills, grants, and other documents for payment
  • Process and monitor electronic and check payments as needed
  • Manage purchasing process and company credit card program for the Foundation team
  • Manage logistics for generating and mailing board communications with Grants Manager and Vice President of Administration
  • Plan and manage Foundation events, convenings, and other gatherings, including managing vendors, budgets, and other logistics
  • Complete a broad variety of administrative tasks, including:
  • Internal and external scheduling for team members
  • Preparing meeting materials as needed
  • Mailing, maintaining correspondence filing, and preparing draft correspondence, as needed (i.e., business replies, memos, thank you letters, etc.)
  • Identify opportunities for improvement and advise Vice President of Administration

Office Management

  • Daily office tasks such as accepting mail and deliveries and answering the Foundation’s general information line
  • Maintain mailing lists and contacts
  • Receive Foundation guests, set up meetings, and coordinate catering and other logistics on behalf of Foundation team members
  • Maintain all office equipment and its proper use
  • Manage relationship with office building maintenance and owner, manage repairs and construction as needed, coordinate with cleaning crew, and maintain a comfortable working environment for all employees
  • Provide an efficient and uniformly excellent office experience for colleagues and guests across the Foundation by maintaining office equipment, cleanliness of all shared areas of the office, and organization of supplies
  • Identify opportunities for improvement and advise Vice President of Administration
  • Contribute to building and maintaining organizational culture

  • Proficient with Microsoft 365 including Teams, Word, Excel, PowerPoint, Outlook, etc. and online grants management systems.

Education and Experience

The Office Manager will need four or more years of experience in office management and experience in the nonprofit or philanthropic sector.

This is a full-time in-person position, and the Foundation’s offices are located in Birmingham, Michigan. Attendance at grant partners’ evening and weekend events and occasional travel should be anticipated.

The Foundation offers a comprehensive benefits package including employer-paid health, dental, and vision insurance and a generous 401K plan. PAY: $60,000 - $70,000 annually based on education and skill level.
