SUMMARY OF POSITION:

The Office Manager position, under general supervision is responsible for administrative duties assigned by HR, Accounting Department, and management. Responsibilities include assisting with a variety of clerical and administrative duties. These tasks include greeting customers and visitors, answering phones, taking messages, managing email and mail correspondence, and calendaring. Additional tasks include invoicing, restocking, and managing office supplies, and always tidying front desk area. Must be able to always maintain professional appearance and customer service oriented.

JOB DESCRIPTION:

Office Administration

  • Welcome visitors in a warm friendly manner, determine nature and purpose of visit, and direct or escort them to specific direction.
  • Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
  • Maintain daily cleanliness and organization of front desk area.
  • Replenish water and coffee supplies for executives.
  • Plan and coordinate office events and design flyers.
  • Receive deliveries; sort and distribute incoming mail.
  • Restock supplies twice a week, and request supplies to order monthly.
  • Other administrative duties as assigned.

Records & Documentation

  • Assist with scanning daily packing slips/List/Bill of Ladings.

Onboarding Support

  • Assist with new hire by collecting, scanning, and filing documents .
  • Take and upload new hire photos.
  • Creating paycheck and door entry badges.
  • Prepare expense requests bi-weekly.
  • Scan and file absence requests in their physical folders.
  • Manage HR related paperwork as needed: application, new hire forms, absence requests, time sheet.
  • Other tasks as assigned.
  • Basic troubleshooting of office devices.
  • Monitor entrance security and report unusual activity.

Internal Communication

  • Distribute memos and announcements.
  • Update bulletin boards and digital displays.

Executive Assistance

  • Manage executive calendars and travel.
  • Prepare agendas, meeting minutes, and presentation materials.
  • Handle confidential documents and sensitive information.

EDUCATION AND EXPERIENCES:

  • High school diploma, GED, or equivalent.
  • Prior experience as a receptionist or in a related field.
  • Excellent written and verbal communication skills.
  • Competency in MS Office: Word, Excel, and Outlook.
  • Bilingual in Vietnamese preferred but not required.

Pay: $17.00 - $25.00 per hour
