Job summary

The Salvation Army Eastern Territory is seeking an experienced Corps Administrator to oversee daily administrative and operational functions for the Corps in Newark, AR. You will supervise staff, coordinate payroll and accounting activities, and support HR, grants, and fundraising efforts.

Qualifications

Job description

Overview
GENERAL PURPOSE:

Oversee the day-to-day administrative and operational functions of the Corps, including accounting, payroll, human resources support, grant administration, office operations, facility coordination, and ministry support. Provide oversight to assigned staff and programs, support fundraising and long-range planning initiatives, maintain active participation on the Advisory Board, and work closely with the Corps Officer(s) to ensure efficient and effective operations in support of the Corps' mission and ministries.

Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES.
Accounting:
  • Maintain accurate accounting records and files to support financial reporting and reconciliation.
  • Prepare and process income for deposit in accordance with established procedures.
  • Maintain Advisory Board minutes, records, and required reports.
  • Maintain accounting records and reports in Gift-In-Kind and other applicable systems.
  • Prepare, review, and submit invoices for payment.
  • Assist with preparation of documentation for internal and external audits.
  • Assist with annual fiscal closing activities and other financial reporting requirements.
Human Resources/Payroll:
  • Maintain employee personnel files and required documentation.
  • Process payroll changes and submit payroll information to DHQ.
  • Assist with new employee onboarding and required documentation.
  • Provide general HR administrative support in coordination with DHQ Human Resources.
  • Provide day-to-day supervision and operational oversight of the Food Service Ministry and assigned employees in coordination with the Corps Officer(s).
Grant Management:
  • Assist with grant administration, tracking, and required reporting.
  • Maintain grant documentation and monitor applicable deadlines.
  • Coordinate with the Corps Officer(s) and appropriate departments to support grant compliance.
Office Operations:
  • Oversee daily front office and administrative operations.
  • Supervise assigned front office, volunteer coordination, and janitorial staff.
  • Coordinate facility and office needs to support efficient Corps operations.
  • Maintain required administrative records, reports, and correspondence.
SUPERVISORY RESPONSIBILITIES:

Supervises food service and other assigned staff.

Qualifications
MINIMUM EDUCATION and/or EXPERIENCE
  • Associate’s degree in business administration or a related field preferred.
  • Two to three years of administrative, office management, accounting, or related experience required.
  • Previous supervisory experience preferred.
  • An equivalent combination of education and relevant experience may be considered.
SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISTRATIONS
  • Valid Ohio driver's license and ability to meet Salvation Army driving requirements, including OTIS certification to operate a 12-passenger van.
  • Strong leadership, communication, interpersonal, customer service, and community relations skills.
  • Strong organizational, time-management, and problem-solving skills with the ability to prioritize and manage multiple responsibilities.
  • Working knowledge of office administration, basic accounting, payroll, human resources support, grant administration, and recordkeeping practices.
  • Proficiency in Microsoft Office and the ability to learn and use applicable organizational systems and databases.
  • Ability to maintain confidentiality, exercise sound judgment, work independently and collaboratively, and handle difficult situations with professionalism and compassion.
WORK ENVIRONMENT:
  • 50% sitting, bending, stretching (Inside)
  • 20% lifting, squatting, stretching, carrying up to 25
  • 20% walking, standing (inside and outdoors)
  • 10% Driving (outside)
