Job Title: Executive Assistant/Office Manager(EA/OM)

Location: NYC, NY(Chelsea)

Company Description:

Join a scaling fintech startup known for our commitment to excellence and a proactive business approach. We are currently seeking an EA/OM to provide robust support to our Senior Managing Directors, facilitating their demanding schedules and strategic initiatives.

Position Summary:

The EA/OM will be integral to the daily operations supporting our leadership team. This role involves handling confidential and critical information with discretion, efficiently managing complex schedules, and coordinating various administrative activities to support executive needs.

Responsibilities:

  • Document Management: Efficiently create, update, and edit documents, spreadsheets, presentations, and files to support executive activities and decision-making.
  • Calendar Management: Expertly handle intensive scheduling requirements using Google Calendar adapting to last-minute changes and prioritizing urgent engagements as necessary.
  • Communication: Maintain a professional demeanor and build rapport with staff, colleagues, and clients. Manage volume of calls, providing courteous and prompt responses to inquiries and directing critical matters to appropriate parties.
  • Meeting and Event Coordination: Arrange and facilitate meetings and events, including room preparation, travel arrangements, catering, and technology setup. Prepare agendas and ensure follow-up on action items post-meeting.
  • Project Support: Take on special projects, often complex, requiring initiative and problem-solving skills to effectively resolve issues and make recommendations.
  • Executive Support: Assist with monitoring critical emails, preparing expense reports, and performing personal assistant duties as needed.
  • Office Management: Direct and coordinate office activities, manage internal office relocations, and oversee the ordering of office supplies to ensure smooth operations.

Desired Skills and Experience:

  • 1-3 years of experience in an administrative role, preferably within a business or startup environment
  • Exceptional ability to interact professionally with all levels of the organization and maintain high levels of confidentiality.
  • Strong proficiency in Google Suite.
  • Proven ability to work effectively under pressure and meet tight deadlines.
  • Must possess a strong team-oriented mindset and demonstrate the ability to handle multiple tasks independently.
