Frida Escobedo Studio is seeking an experienced and highly organizedOffice Managerto join our New York team. This is a pivotal role that supports the smooth and effective daily operations of our Studio, ensuring that our creative team has the structure and support needed to thrive. The ideal candidate is proactive, detail-oriented, and has a strong understanding of both administrative systems and New York State and City employment regulations.
Key Responsibilities:
Administrative & Operational Support
Manage day-to-day Studio operations, maintaining an organized, well-functioning, and professional work environment
Coordinate meetings and prepare the Studio for client-facing meetings, including managing catering when needed
Order and maintain office supplies, manage the Studio library and model shop
Coordinate with external vendors and service providers, including IT support and office cleaning teams
Oversee software license renewals and management for the NYC office
Executive & Cross-Office Coordination
Coordinate travel logistics for Frida Escobedo’s visits to and from NYC in collaboration with the Mexico City Executive Assistant
Track NYC-based reimbursable expenses and ensure timely submission and documentation
Liaise with the Mexico City office manager to coordinate payments and workflows on joint projects
Financial & Accounting Oversight
Collaborate with the Studio’s accountant to process vendor payments and support bookkeeping as needed
Assist with budget tracking and ensure accurate accounting practices in alignment with internal standards
HR & Compliance
Onboard new employees and coordinate necessary employment documentation
Manage Studio benefits programs, including healthcare offerings and retirement fund enrollment
Maintain and regularly update the Studio’s employee manual to remain compliant with New York State and City labor laws
Implement Studio policies and provide administrative support for attendance tracking, paid time off, and sick leave
Assist with managing employee visa requirements when applicable
Studio Culture
Plan and execute Studio events and social gatherings
Help foster a positive, inclusive, and collaborative workplace culture
Qualifications:
Minimum 5 years of office management or administrative experience, ideally in a creative or architecture setting
Strong working knowledge of New York State and City labor laws and employment practices
Excellent organizational and time-management skills
Clear written and verbal communication skills
Basic accounting/bookkeeping knowledge
Proficiency with Microsoft Office, Google Workspace, and cloud-based collaboration tools
Ability to handle sensitive information with discretion
Spanish language skills a plus
Compensation: This is a full-time role based in New York City, with an annual salary ranging from $85,000 to $100,000, depending on experience. The Studio provides a comprehensive benefits package, which includes health insurance and a generous paid time off policy.
