Position: Office Manager/ Executive Assistant

Salary: $40,000 - $55,000 annually, pay commensurate with experience and ability

We are looking for a dedicated, hardworking, and energetic individual to join our team as an office manager/ executive assistant.
Job Responsibilities
Office Management
- Oversee the daily operations of the office, ensuring efficiency and smooth workflow.
- Manage office supplies, equipment, and supplier/ subcontractor relationships.
- Develop and implement office procedures, ensuring compliance with company policies.
- Manage company accounting software.
- Handle incoming communications, including phone calls, emails, and mail, directing them to the appropriate personnel.
- Greet clients and ensure an enjoyable experience
- Organize office meetings and staff functions
- Coordinate with municipalities and utility companies to obtain permits and services for construction projects.
- Manage accounts payable and accounts receivable
Executive Assistance
- Provide high-level administrative support to leadership
- Prepare, proofread, and edit documents, reports, presentations, and correspondence for senior leadership.
- Assist with the preparation and coordination of company events, including team meetings and client presentations.
- Handle sensitive and confidential information with discretion and professionalism.
Project Support
- Provide administrative assistance to project managers by tracking timelines and budgets
- Organize and maintain files for ongoing projects, including contracts, permits, financials and design documents.
- Assist with the preparation of project reports, presentations, and progress updates for clients.
Additional Responsibilities
- Implement and maintain office technology, systems, and software to improve efficiency.
- Support the team with ad-hoc administrative tasks, as needed.
Requirements
- Must posses excellent organizational and communication skills
- Must be proficient in Microsoft Office, QuickBooks (or comparable software), and able to easily learn additional computer programs as needed
