Fermented Food Holdings (FFH) is seeking a dependable, detail-oriented Part-Time Office Manager to support day-to-day administration in Madison. You will help ensure the office runs smoothly, coordinate events, assist with onboarding, and create a welcoming experience for employees and visitors.

Responsibilities

  • Monitor office supply inventory and place orders.
  • Serve as primary liaison with vendors, clients and service providers.
  • Maintain kitchens, conference rooms, stockrooms and shared spaces.
  • Coordinate visits for customers, investors and guests, including logistics.
  • Act as point of contact for office inquiries and support work environment.
  • Manage incoming/outgoing mail distribution and related communications.
  • Support special projects as assigned by leadership.

About the role:

We are seeking a dependable, detail-oriented Part-Time Office Manager to support day-to-day administrative operations and help ensure the Madison office runs smoothly and efficiently. This role offers the opportunity to work in a dynamic, collaborative environment while coordinating events, supporting office operations, and helping create a welcoming experience for new employees and visitors.

Accountable For:
  • Coordinate core leadership meetings and company events, ensuring logistics, materials, and follow-up items are managed effectively.
  • Partnering with IT to maintain and update group email distribution lists and related office communication tools.
  • Provide general administrative support, including filing, organizing documents, maintaining records, processing office paperwork, and assisting with day-to-day office needs.
  • Monitor office supply inventory and place orders as needed to ensure appropriate stock levels are maintained.
  • Serve as a primary liaison with vendors, clients, and service providers for office equipment, catering, repairs, and related services.
  • Maintain kitchens, conference rooms, stockrooms, and other shared office spaces in a clean, organized, and professional manner.
  • Coordinate occasional customer, investor, and guest visits, including scheduling, logistics, meeting space preparation, and hospitality needs.
  • Act as a point of contact for office-related inquiries, providing timely support and helping foster a positive, productive workplace environment.
  • Manage incoming and outgoing general mail distribution and related office communications.
  • Support special projects and initiatives as assigned by leadership.

  • Excellent communication and interpersonal skills, with the ability to work effectively with employees, vendors, and executive leadership.
  • Sound judgment, problem-solving skills, and adaptability when priorities shift or unexpected office needs arise.
  • Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
  • Professionalism and discretion, with the ability to handle sensitive information confidentially and responsibly.
  • Must be legally authorized to work in the United States without current or future employer sponsorship.
Preferred Qualifications:
  • Bachelor’s degree in business or a related field.
  • Previous office management or administrative experience.
  • Experience supporting vendors, facilities, or office services.
  • Event planning, employee engagement, or culture-building experience.
