Job description

The Indiana Hardwood Lumbermen’s Association (IHLA) is seeking a detail-oriented, organized, and dependable Office Manager to oversee the day-to-day operations of our small office in Fishers, Indiana. This position is an important part of keeping the association running smoothly and involves a variety of administrative, financial, membership, event, and communication responsibilities.

IHLA hosts several events throughout the year, but our major annual event is our convention, held each February making October through February our busiest season. The ideal candidate is someone who enjoys staying organized, working independently, communicating with members and industry professionals, and managing multiple priorities with accuracy.

Key Responsibilities:
Member & Customer Support
  • Answer incoming phone calls and assist members and prospective members with questions regarding:
  • IHLA membership
  • Invoices and payments
  • Events and registration
  • General association information
  • Respond to member inquiries by phone and email in a professional and timely manner.
  • Provide excellent customer service to IHLA members, event attendees, and industry partners.
  • Manage all day-to-day bookkeeping for the association using QuickBooks.
  • Categorize bank and credit card transactions.
  • Complete monthly bank reconciliations.
  • Print and issue checks.
  • Prepare and send invoices.
  • Record and process incoming payments.
  • Maintain accurate financial records and documentation.
  • Assist with financial reporting and other accounting-related needs as necessary.
Insurance & Administrative Compliance
  • Maintain the association's insurance policies and ensure coverage remains current.
  • Track insurance payments and ensure policies and premiums are paid on time.
  • Maintain organized records of policies, renewals, and other important documents.
  • Complete PAC reporting to the State of Indiana and maintain required documentation.
Office Management
  • Manage the day-to-day operations of the IHLA office.
  • Check and distribute incoming mail.
  • Prepare and mail invoices, notices, event information, and other association correspondence.
  • Maintain office supplies and coordinate general office needs.
  • Keep digital and physical files organized and up to date.
Convention & Event Support
  • Manage convention registration and billing.
  • Assist with event registration, invoices, payments, and attendee communications.
  • Help coordinate administrative details for IHLA events and educational programs.
  • Assist with preparation and mailing of event promotional materials.
While not required, experience in the following areas would be a significant asset:
  • Graphic design and creating promotional materials
