This role is perfect for someone who enjoys being the organizational backbone of a busy service-based company. You'll manage the office, support our production and sales teams, and ensure that clients have a truly exceptional experience from start to finish. Key Responsibilities:

  • Manage day-to-day office operations, including scheduling, correspondence, and client communications.
  • Coordinating schedule with production manager & communicating with clients about scheduling.
  • Maintain CRM accuracy, contact records, KPI tracking, and business metric reporting.
  • Maintain accurate records, including invoices, contracts, and employee schedules, using Microsoft Office Suite and Mac-based software.
  • Handle phone calls, emails, and inquiries with professionalism and attention to detail.
  • Assist production and sales team with drafting client proposals, work orders, job folders & paint selection forms.
  • Adapt to changing priorities and handle multiple tasks in a high-energy environment.
  • Assist with payroll preparation, time tracking, and data entry in Quickbooks.
  • Assist with marketing tasks as needed (forms, postings, social media content).

Qualifications:

  • Minimum 5 years of experience as an Office Manager, preferably in a construction, contracting, or service-based industry.
  • Strong proficiency in MacOS & Microsoft Office (Excel expertise required).
  • Excellent communication skills, both written and verbal.
  • QuickBooks experience is preferred but not a must.
  • Exceptional organizational skills and ability to multitask in a fast-paced environment.
  • Experience scheduling and coordinating fast-paced jobs, with a focus on meeting deadlines.

  • Experience with social media platforms (Facebook, Meta, Instagram etc..) a bonus but not required.
