OFFICE MANAGER - Branch Administrator - Mt Laurel / Cherry Hill NJ

Full Time, Monday - Friday, Hourly, In-Office position in our busy & Growing Mt Laurel NJ Branch Location.

We are searching for a talented, highly organized, and resourceful Administrator to provide office management, administrative, operational, clerical, and customer service support to our NJ Team. In this role, you will maintain office services by organizing office operations and procedures, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions. A good office manager is more than just an efficient assistant. As an efficient Office Manager, you will need sound judgment and strong communication and problem-solving skills. You are a leader with plenty of patience to deal with all aspects of your job responsibilities. Join our team today!

Essential Job Functions:

  1. Responsible and accountable for all payment collections with weekly reporting, including timely reporting of any missing cash to the Divisional Manager, weekly deposits, and related reporting to Divisional Manager and Finance.
  2. Manage open A/R issues such as non-payments, missing payments, returned checks, checks with incorrect amounts, and missing documentation.
  3. Responsible and accountable for cash collection and reporting following the internal cash management process.
  4. Manage credit card chargebacks following internal procedures.
  5. Manage all customer refunds with Divisional Manager’s approval.
  6. Manage all permits as instructed by Service Managers, including scheduling inspections with customers and technicians, and rescheduling failed inspections.
  7. Manage insurance breakdown reports.
  8. Responsible for printing and distributing Technicians’ weekly billable hour and material reports.
  9. Oversee Dispatchers’ completion of the ‘reject list’ to ensure Technicians’ payroll is completed on time and accurately.
  10. Manage all internal administration paperwork, such as checks, receipts, timesheets, and PO’s, using the turn-in reconciliation sheet.
  11. Contact Miss Utility for jobs requiring excavation, as sold by a Technician within the branch.
  12. Manage equipment rentals, sub-contractor partners, and track activities following internal processes.
  13. Support Divisional Managers in scheduling and organizing weekly Technician meetings and other management activities, preparing necessary reports in advance.
  14. Coordinate with Service Managers and Dispatchers to schedule 1:1 technician meetings, fleet maintenance, vehicle inventory, and other scheduling needs.

Qualifications:

  • Excellent problem-solving skills
  • Proficiency in MS Office
  • Experience with Service Titan is a PLUS
  • Ability to work positively, build trust, and foster productive partnerships with the service team, technicians, and internal staff
  • Professional, courteous, and mature business conduct
  • Organized, detail-oriented, and capable of multitasking in a fast-paced environment
  • Strong follow-up skills to ensure timely and accurate completion of duties
  • Effective verbal and written communication skills
  • Willingness to travel to other branches for training or support if needed

Experience/Education:

  • High School Diploma required
  • 5+ years experience as an Office Manager or in a similar administrative role in a customer-service-focused company
  • Advanced computer skills, especially MS Office suite
