Qualifications

Position Overview
Primary Purpose of Position

The position will serve as the primary management assistant to the Executive Director of Student Activities & Campus Involvement. Position will administer and manage the business and financial affairs of the Office of Student Activities. Position will assist in managing and reporting for 10 budgets as well as assisting with procurement card and travel card reconciliation, student worker payroll, purchasing, inventory control, tax fringe benefit reportsand other closely related work.

Primary Function of Organizational Unit

The Office of Student Activities oversees the development and organization of the university's primary extra-curricular programs. These areas include Student Government, Campus Programs, the Fraternity & Sorority system and Club & Organizations, as well as university wide events such as Homecoming & other large-scale events.

M-F, 8a-5p Some Evenings and Weekends

Key Responsibilities and Related Competencies
Business Administration

Essential duties and responsibilities include but are not limited to the following: Assist with the daily financial operations of the office. Provide assistance with planning and implementation of programs and activities. Ability to manage and improve businessprocesses and operations by ensuring continuity and integration ofpolicies and procedures. Ability to develop long- and short-termgoals and objectives that support the business functions. Provideassistance with planning and implementation of programs andactivities.

Financial Management - Budget

Ability to plan and monitor the use of expenditures to meetorganizational objectives and compliance. Ability to prepare budgetdocuments and reports. Ability to allocate resources, planprocurement, and oversee budgets and contracts to ensure fiscalstability of the organization. Manage calendars, create files,monitor Student Activities budgets and expenditures, generaterequisitions for areas under Student Activities, keep accuratebudget records, make purchases, reconcile accounts, complete traveland procurement card documents for staff members, compile and trackcontracts, photocopy, maintenance of an accurate filing system,databases and files, word processing, order supplies and equipment,process mail and compile information for reports.

Communication (Presentations, Oral, and Written)

Provide fiscal, administrative and clerical support for the Officeof Student Activities, including answering phones, greetingvisitors, providing front desk support; serve as first contact withstudents. Meet and greet students, provide information aboutprograms and events, promote and assist student involvement inprograms and activities. Transcribe minutes for meetings. Developand maintain collaborative relationships with other North CarolinaA&T State University departments, faculty, staff, students,visitors, and campus groups. Ability to clearly and conciselyconvey information orally or in writing to individuals or groups toensure that they understand the information and the message.Ability to listen and respond appropriately to others using theappropriate media (e.g. email, presentations, etc.).

Office Technology

Demonstrated proficiency at an intermediate level using standardoffice software applications, including Word, Excel, andPowerPoint. Additionally, initiate purchase requisitions usingAggie Mart, access Banner Student and Banner Finance, and makeedits to Student Activities websites.
