Job summary

Oral Surgery of Fredericksburg is seeking an experienced Office Manager to keep the day-to-day operations running smoothly in our Fredericksburg dental office. You will be the friendly voice patients hear, manage the front office, and lead a small administrative team.

This full-time role involves scheduling, records, insurance verification, billing oversight, and ensuring HIPAA/OSHA compliance while supporting marketing efforts and patient care.

Qualifications

  • 2+ years of experience in an office management role, preferably in healthcare/dental.

Responsibilities

  • Manage front office operations, including patient scheduling, records management, and insurance verification.
  • Supervise administrative staff, including hiring, training, and performance evaluations.
  • Greet and welcome patients and families with a warm, friendly demeanor.
  • Oversee billing, coding, and collections; verify insurance benefits and coverage; ensure pre-authorizations when required.
  • Monitor accounts receivable; follow up on outstanding claims and denials.
  • Prepare financial reports and support budgeting, collections tracking, and revenue reporting.
  • Schedule appointments and manage the daily calendar efficiently.
  • Ensure the office complies with HIPAA and OSHA standards.
  • Serve as the liaison between the surgical team, patients, vendors, and insurers.
  • Maintain inventory of office supplies and medical equipment; place orders as needed.
  • Support local marketing efforts, including social media and campaigns.
  • Occasional lifting of up to 25 lbs.

Oral Surgery of Fredericksburg is a doctor-led oral and maxillofacial surgery practice founded in 2020, right here in Fredericksburg. Our surgeons stay focused on patient care and keep full say over how the practice is run, so the team on the ground — including whoever fills this role — plays a real part in shaping what it feels like to walk through our doors.

The Role

As Office Manager, you'll be the person who keeps our day running smoothly — the friendly voice patients hear on the phone, the familiar face at check‑in, and the steady hand the surgical team and staff rely on. You'll manage the front office, lead a small administrative team, and help set the tone for what it feels like to walk through our doors. Additional duties may be assigned by your supervisor as the practice grows.

What You'll Do
  • Manage front office operations, including patient scheduling, records management, and insurance verification.
  • Supervise administrative staff, including hiring, training, and performance evaluations.
  • Foster a positive, welcoming work environment for staff and patients alike.
  • Greet and welcome patients and their families with a warm, friendly demeanor.
  • Assist with administrative tasks including filing, data entry, and patient records management.
  • Oversee billing, coding, and collections; verify insurance benefits and coverage; ensure pre‑authorizations are obtained when required.
  • Monitor accounts receivable, follow up on outstanding claims and denials, and resolve billing or coding discrepancies.
  • Prepare financial reports and support budgeting, collections tracking, and revenue performance reporting.
  • Schedule appointments and manage the daily calendar efficiently.
  • Ensure the office complies with all local, state, and federal regulations, including HIPAA and OSHA standards.
  • Serve as the liaison between the surgical team, patients, external vendors, and insurance companies.
  • Maintain inventory of office supplies and medical equipment, placing orders as needed.
  • Support local marketing efforts, including social media, email campaigns, and community/promotional events.
What We’re Looking For

2+ years of experience in an office management role, preferably in a healthcare or dental setting — this experience matters more to us than a specific degree.

Proven ability to lead and develop an administrative team.

Excellent communication and interpersonal skills, especially with children and their parents.

Strong organizational skills and attention to detail.

Proficiency with office software (e.g., MS Office, practice management software).

Working knowledge of basic dental terminology.

Comfort supporting marketing efforts and contributing creative ideas.

Ability to handle sensitive patient information with confidentiality.

Working Conditions

Based in our Fredericksburg dental office, with a reception area, private offices, and treatment rooms.

Standard business hours, with occasional evening or weekend shifts based on practice needs.

Regular collaboration with surgeons, administrative staff, and patients.

Role is primarily seated, with regular time on your feet assisting patients and staff.

Occasional lifting/moving of office supplies or equipment (up to 25 lbs).
