Job description

About Us

First Star Safety is a woman-owned business proudly serving the Tri-State area since 2006. From roadways to major sporting events, we are a trusted provider of traffic control and safety services across Ohio, Kentucky, and Indiana. When you think orange barrels, cones, and community-focused construction safety — think of us.

Position Overview

We’re looking for a versatile, organized, and people-focused Office Manager with a strong foundation in HR and administrative support. This is an excellent opportunity for someone eager to grow their HR skillset while contributing to essential day-to-day operations in a small but high-impact team.

This role blends front office coordination, human resources administration, light payroll and invoicing, and employee-facing support. You'll serve as a critical bridge between leadership and field staff, helping to maintain smooth internal operations.

If you enjoy variety, are confident with compliance basics, and thrive in an environment where priorities shift quickly, this role is for you.

Key Responsibilities
  1. Office & Administrative Support
  • Serve as the front desk point of contact — greet visitors, answer phones, manage mail and office supply inventory.
  • Support company invoicing and billing processes (basic accounting knowledge a plus, not required).
  • Coordinate office logistics.
  1. Human Resources Administration
  • Lead new hire onboarding and orientation, including pre-employment paperwork and compliance.
  • Coordinate pre-employment and post-accident drug testing (ODOT/DOT experience a plus).
  • Maintain organized and up-to-date employee files and records.
  • Assist with recruitment coordination, interview scheduling, and candidate communication.
  • Be a go-to resource for employees for questions about policies, benefits, and HR forms.
  • Ensure timely and accurate completion of employment verifications, I-9s, and other required documents.
  1. Payroll & Compliance
  • Assist with weekly payroll processing.
  • Monitor required onboarding steps and compliance deadlines.
  • Help ensure adherence to state and federal employment regulations.
  1. Qualifications
  • 5+ years of office administration or office manager experience, ideally in a construction or field-service environment.
  • 2+ years of human resources support experience, including onboarding and employee interaction.
  • Working knowledge of basic employment law and HR compliance is required.
  • PHR or SHRM-CP certification preferred or in progress.
  • Experience with drug testing coordination and ODOT onboarding requirements is a plus.
  • Basic accounting or invoicing experience is a plus but not required.
  • Excellent organizational and communication skills.
  • Proficient with Microsoft Office and comfortable learning HR/payroll platforms (e.g., ADP, BambooHR, Paychex).
Work Environment & Classification
  • This is a full-time, on-site role at our Cincinnati office.
  • Must be comfortable working in a flexible, fast-paced environment where priorities may shift quickly.
  • You'll be part of a small operations team and regularly interact with field staff, customers and leadership.
