Job description

Mike Anderson Chevrolet of Chicago is looking for an Office Manager to serve as a leader in the accounting office. The Office Manager will work closely with management and other departments to ensure the continued success of Mike Anderson Chevrolet. Successful candidates must maintain excellent business relations with customers, both internally and externally. The ideal candidate has five years of dealership Office Manager experience. RESPONSIBILITIES:

  • Hire, train, and supervise office personnel.
  • Analyze and organize office operations and procedures.
  • Control all posted documents, including time records, vehicle deals, commissions, and inventory changes.
  • Ensure accurate and timely filing of the Form 8300.
  • Reconcile select accounts monthly.
  • Approve adjustments to inventory and receivable accounts.
  • Ensure all manufacturer accounts, including warranty claims, rebates, interest, and co-op advertising accounts, are current and accurate.
  • Assist in completing annual reviews and audits.
  • Ensure compliance with all government regulations.
  • Prepare tax reports, deposits, and returns accurately and timely.
  • Stay updated on current factory incentives and code deliveries on the dealership computer system.
  • Manage charge-back programs for late charges to inventory.
  • Prepare sales commission and chargeback details.
  • Oversee collection of past due accounts.
  • Cross-train a qualified substitute.
  • Investigate dealership accidents and prepare reports for insurance.
  • Prepare and issue paychecks in the absence of the HR Assistant.
  • Conduct and assist with employee meetings.
  • Maintain a professional appearance.
  • Attend meetings as requested.

REQUIREMENTS:

  • Degree in Accounting or Business, or at least 5 years of automotive dealership accounting experience.
  • Excellent communication and organizational skills.
  • Experience with Microsoft Office suite.
  • Upbeat and positive attitude.
  • Experience with POWER is a plus.
  • Ability to work effectively with customers, vendors, and employees while handling multiple tasks.
  • Willing to submit to pre-employment drug screening and background checks.
  • Must be insurable with our insurance carrier.
  • Schedule: Monday - Friday, 8:00 am - 5:00 pm.
