Job Summary:
Supervises and/or performs secretarial, clerical, and office duties. Responsibilities include assisting in project estimation, procurement, fiscal monitoring, scheduling, invoicing, vendor negotiations, and maintaining office equipment. The ideal candidate is highly organized with excellent communication skills and system implementation abilities.
Essential Duties and Responsibilities:
- Oversees or prepares payroll, ensuring accuracy and compliance, and distributes paychecks.
- Reviews and codes vendor invoices, communicates with vendors for corrections.
- Prepares customer invoices with supporting documentation.
- Maintains organized filing systems for invoices, payroll, and employee records.
- Maintains safety training records and submits related reports.
- Assists in procurement of materials and supplies.
- Calculates project costs, analyzes data, and estimates labor and materials.
- Prepares detailed project proposals and maintains customer contacts.
- Tracks projects, recommends corrective actions to meet milestones.
- Manages accounts receivable, resolves payment disputes.
Additional Duties:
- Demonstrates teamwork and cooperation.
- Assists with communication and general inquiries.
- Supports inventory and audit documentation.
- Calculates billing rates and prepares contractor questionnaires.
- Maintains petty cash.
Qualifications:
- 2 years experience as an Office Manager or similar role (preferred)
- 5+ years Sage Accounting Software experience
- High school diploma/GED required; some college preferred
- Knowledge of office equipment and systems
- Proficient in Microsoft Office, Excel, Outlook
- Strong time management and prioritization skills
- Excellent problem-solving and attention to detail
- Excellent verbal and written communication skills
