This is a highly visible role with the opportunity to make a meaningful impact across every aspect of the Boston office. If you’re someone who enjoys taking ownership, solving problems, building relationships, and creating a positive workplace culture, we’d love to hear from you.

  • Overseeing the day-to-day operations of the Boston office, ensuring an organized, efficient, and welcoming workplace.
  • Providing executive support to senior leadership, including calendar management, meeting coordination, domestic and international travel arrangements, expense reporting, and administrative support.
  • Coordinating recruiting logistics, screening candidates, scheduling interviews, onboarding and offboarding employees, and supporting HR-related administrative processes.
  • Planning and executing internal and external events, including team celebrations, executive visits, board meetings, recruiting events, and client meetings.
  • Managing office facilities, workplace services, office supplies, kitchen operations, mail, deliveries, and building management relationships.
  • Managing vendor relationships, office purchasing, invoices, and contracts to support daily office operations.
  • Coordinating conference rooms, meeting logistics, catering, and presentation materials for internal and external meetings.
  • Supporting U.S.-based marketing initiatives and collaborating with colleagues across our international offices on cross-functional projects.
  • Serving as the primary point of contact for employees, candidates, visitors, vendors, and external partners, ensuring a professional and welcoming experience.
  • Identifying opportunities to improve office operations, streamlining administrative processes, and enhancing the overall employee experience.

What We're Looking For

You’ll be successful in this role if you:

  • Have 2+ years of experience in office management, executive support, HR, workplace operations, hospitality, or a similar role.
  • Are highly organized with exceptional attention to detail.
  • Can confidently manage multiple priorities while maintaining a high level of accuracy.
  • Have outstanding communication and interpersonal skills.
  • Are proactive, resourceful, and comfortable working independently.
  • Enjoy supporting others and creating a positive workplace experience.
  • Handle confidential information with professionalism and discretion.
  • Are proficient in Microsoft Office and comfortable learning new systems and technology.
