Overview
Dashing Diva is seeking an experienced and highly organized Office & Facility Manager to oversee daily office operations, facilities management, and internal event coordination across multiple properties in Port Washington, Mill Neck, and other locations in the New York area. This role is ideal for someone who is proactive, detail-oriented, and has a strong sense of style and hospitality to reflect our brand in both workspaces and company events.
This role calls for a seasoned professional with a proven ability to manage general affairs, office operations, executive support, and large-scale company events—all while curating stylish, functional, and welcoming environments. The ideal candidate brings deep experience in general renovation projects, corporate event planning, facilities management, interior design/styling, and vendor negotiation. Success in this role requires someone who thrives in a fast-paced, ever-evolving setting, demonstrates strong proactive thinking, and moves with agility and decisiveness in both strategy and execution.
Major Duties & Responsibilities
- Provide support to the Sr. Director of General Affairs, ensuring accurate communication, reporting, and follow-through across all initiatives.
- Optimize the general affairs department’s workflow and increase efficient processes by developing procedures, implementing changes.
- Lead administrative tasks, handle CEO-directed errands, with the ability to delegate, assign, or complete tasks independently based on urgency and priority with discretion.
- Manage a small team (3–4 staff) and ensure smooth daily operations across sites.
- Manage General Affairs operation personnel by delegating responsibilities.
- Manage office supplies, inventory control, company assets, and purchasing.
- Manage relationships with key operations vendors and review all operational invoices and suppliers and service contracts.
- Manage business travel arrangements and corporate events by accommodating traveling needs.
- Support employees with hardware/software and setup equipment for new hires working with 3rd party IT management vendors.
Facility Management
- Oversee facility maintenance across Port Washington, Mill Neck, and other properties in the New York area.
- Manage renovations and construction projects from planning to execution and create reports.
- Develop a Facility / Property asset/equipment management system for managing supplies, inventories, and facility assets including company cars.
- Monitor properties safety and compliance with building regulations, including maintenance, permits, and inspections.
- Supervise facilities maintenance, including landscaping and cleaning.
- Ensure the workplace is a safe and healthy work environment while complying with all OSHA requirements for office safety and security.
Event Planning & Hospitality
- Plan and execute internal and external events, employee engagement activities, and executive meetings.
- Coordinate venue booking, décor, catering, logistics, and budgeting to ensure visually impactful and well-organized experiences.
- Oversee VIP hospitality for corporate guests, CEO’s guests and executive-level gatherings and guests’ pickup & drop off.
- Organize seasonal events, such as holiday parties, themed celebrations, and wellness programs.
Qualifications
- Bachelor’s degree in Business Administration, Hospitality, Interior Design, or a related field.
- Minimum 5 years of relevant experience in general affairs, facilities, or event planning.
- Strong adaptability in fast-paced environments with excellent problem-solving and response time.
- Exceptional communication, delegation, and time management skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Bilingual in Korean and English preferred (spoken and written).
- Capable of standing and walking for extended periods.
- Local travel required. Must have state issued legal driver license with clean driving record and able to drive approx. 50-mile driving radius.
