Job summary

SeaWorld Parks & Entertainment in Orlando seeks an organized Administrative Coordinator to support the Vice President of Entertainment and manage confidential information with discretion. You will organize filing, licensing, and internal documents, while coordinating with leadership and other departments on events and milestones.

The role requires strong MS Office skills, excellent communication, and the ability to multitask in a fast-paced, hands-on environment with flexible shifts.

Qualifications

  • High School Diploma or equivalent.
  • Minimum of 1 year of office coordination, executive assistant, or administrative experience.
  • Proven ability to handle confidential information with professionalism and discretion.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Must be able to lift 25 pounds and push/pull 50 pounds.
  • Work indoors with or without AC for entire shift.
  • Availability to work varying shifts including opening, mid, and closing shifts; nights, weekends and holidays.

Responsibilities

  • Provide direct administrative support to the Vice President of Entertainment.
  • Manage confidential documents and sensitive information with discretion and accuracy.
  • Organize, file, and maintain departmental paperwork and records.
  • Maintain and track licensing documents, certifications, and compliance files.
  • Assist with preparation, organization, and distribution of internal documents and materials.
  • Maintain cleanliness and presentation of kitchen and conference spaces.
  • Ensure conference rooms are meeting ready, including setup and restocking.
  • Oversee copy machine operations and service coordination.
  • Monitor office supplies and coordinate restocking as needed.
  • Serve as a point of contact for office-related needs within the Entertainment department.
  • Plan, organize, and execute milestone moments and holiday celebrations.
  • Support department morale with welcoming and engaging office experiences.
  • Coordinate with other departments to support documentation and events.
  • Maintain organized digital and physical filing systems.
  • Distribute incoming and outgoing mail.
  • Attend leadership meetings and record minutes.
  • Monitor duty phone line and assist with Ambassador correspondence and park startup meetings.

  • Monitor Entertainment duty phone line and assist with Ambassador correspondence as well as attend park start up meeting on behalf of the department
  • Perform other duties as assigned
What it takes to succeed:
