Summary

Under general supervision of the Director, maintains child, family and staff records and files, supervises front office personnel, assesses CSUN student parent eligibility for California State Department of Education child care subsidies and performs related work as required. Organize and present educational materials to staff and parents. Analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.

Duties

Provide program information to prospective families. Give Center tours to prospective families. Maintain all waiting lists for families requesting Center enrollment. Responsible for posting/documenting payment of parent fees and tuition as well as billing when necessary. Create enrollment, personnel and office management forms and procedures.

Assess CSUN student parent’s eligibility for receiving California Department of Education (CDE) funding to subsidize their child’s tuition costs, interpreting and applying policies and procedures independently, and use judgment and discretion to act when precedents do not exist. Assist CSUN student parent’s in the completion/documentation of CDE required paperwork. Maintain family files, including ‘subsidy’ files, ensuring that all required documentation is present and up to date.

Maintain personnel files; Effectively write and present reports as required. Analyze program data, prepare and submit all required reports. Assist with daily changes to Center staffing.

Supervise, train, direct, and evaluate Administrative Support Assistant and front desk student assistants.

Performs other duties as assigned.

Qualifications

Minimum Education

A minimum of 5 years of experience in general office management.

OR

BA/BS Degree from a regionally accredited College or University. Equivalent experience may be substituted for required education.

Must have required fingerprint, Child Abuse Index, T.B. required Immunizations and Health clearances.

Must have a current California Driver’s License, access to a car and California State minimum required insurance coverage.

Minimum Qualifications

Must be able to: maintain confidentiality; organize the work of other adults and give clear instructions; exercise good judgment for the health and safety of all children and staff; meet the physical requirements of lifting and carrying young children and equipment; maintain composure under emergency conditions; administer first aid for minor injuries and/or accidents; establish and maintain effective working relationships with staff, parents and children; effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations; communicate effectively both orally and in writing with a thorough knowledge of English grammar, punctuation, and spelling; provide leadership, by example, establishing and maintaining quality work standards.

Pay, Benefits, & Work Schedule

This position is employed through Associated Students (AS). AS offers an excellent benefits package including Medical, Dental & Vision insurance, Life Insurance, Vacation, Sick Leave, 14 paid Holidays, company sponsored retirement program and more.

The range position is $21.12 - $31.68 per hour. The anticipated hiring range: $21.12 - $31.68 per hour, dependent upon qualifications and experience.

HOURS: Full-Time, Non-Exempt at 40 hours per week; schedule is generally Monday – Friday during business hours but periodically varies to accommodate working evening and weekend events.
