Job summary

White Mountain Cable Construction in Worcester, MA seeks an Office Coordinator to support administrative and operational tasks for a telecom construction field office. You’ll liaise between field crews, project management, customers, vendors, and the corporate office while keeping records accurate.

The ideal candidate is organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment, with proficiency in Microsoft Office and SAP experience a plus.

Qualifications

  • High school diploma or equivalent required; further education in business admin, construction mgmt, or related field is a plus.
  • 2+ years administrative/office coordination/construction support experience preferred.
  • Experience with SAP systems is a plus.
  • Strong organizational and time-management skills essential.
  • Proficiency with Microsoft Office apps (Outlook, Word, Excel).
  • Ability to learn/project manage, document management, and construction software.

Responsibilities

  • Assist daily operations of the field office, including phones, email, correspondence, filing, and general admin duties.
  • Maintain organized electronic and physical project files.
  • Prepare, format, distribute, and track project-related documents and correspondence.
  • Provide admin support to Project Managers, Construction Managers, Superintendents, and field personnel.
  • Track project documentation (work orders, permits, inspection records, daily reports, material deliveries, closeout docs).
  • Collect and organize daily field reports, timesheets, production reports, photos, and other field docs.
  • Assist with purchase orders, invoices, change orders, and subcontractor documentation.
  • Perform other clerical duties as assigned.

What You’ll Do

What You’ll Need
  • High school diploma or equivalent required; additional education in business administration, construction management, or a related field is a plus.
  • 2+ years of administrative, office coordination, construction administration, or project support experience preferred.
  • Experience with SAP is preferred. Familiarity with SAP systems, processes, and applications is a plus
  • Strong organizational and time-management skills.
  • Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
  • Ability to learn and work with project management, document management, timekeeping, and construction software.
  • Strong attention to detail and accuracy.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Professional and effective communication with employees, customers, subcontractors, and vendors.
  • Ability to work independently while also functioning effectively as part of a field operations team.
