Job summary

Medline Industries, LP is seeking an Office Coordinator to ensure an outstanding guest experience by serving as the main point of contact for visitors. The role also handles phone calls, mail and package receipt, and various support tasks for management and hourly staff.

Responsibilities include greeting visitors, directing to meetings, issuing badges, processing expenses, maintaining supplies, and assisting with travel and apparel distribution, while upholding facility safety and professional

  • Work Experience: Experience providing customer service to internal and external customers, including meeting quality standards for services, and evaluation of customer satisfaction
  • Knowledge / Skills / Abilities: None

Responsibilities

  • Greet visitors and log visits, alert appropriate party of arrival.
  • Escort visitors to meetings or destinations within Medline.
  • Issue badges to new team members and maintain visitors log.
  • Maintain office and breakroom supplies and cleanliness.
  • Assist with travel inquiries, employee purchases/shipping, and apparel distribution.
  • Process expense reports for management and staff.
  • Maintain communications boards and location contact lists.
  • Answer calls professionally and direct to the appropriate department.
  • Receive and direct deliveries including food, printing, and flowers.
  • Assist security by reporting suspicious activity.
  • Provide timely support to visitors and employees.

Job Summary

Under general supervision, the Office Coordinator is responsible for ensuring an outstanding guest experience by serving as the primary point of contact for welcoming guests to the facility. Additionally, the Office Coordinator will be responsible for answering phone calls, receiving mail and packages, and performing other support tasks for the management team and hourly team members.

Job Description
MAJOR RESPONSIBILITIES
  • Serve as the initial contact for greeting visitors, logging guest visits, and alerting the appropriate party of the visitor's arrival.
  • Help direct and/or escort visitors to appropriate Medline meeting room/destination.
  • Complete security procedures (e.g., issues badges to new team members, ensures proper completion of visitors' log).
  • Assist in maintaining office and breakroom cleanliness and ordering office and breakroom supplies when needed.
  • Assist team members with travel-related inquiries, employee purchases, employee shipments, and distributing of apparel.
  • Process expense reports for management team and hourly team members.
  • Follow record retention guidelines to scan and retain non-sensitive team member documents.
  • Maintain communication boards, location contact list, and Operations News Network Content with information and content supplied by the management team.
  • Answer incoming calls in a professional and courteous manner. Direct callers to appropriate parties or departments for all Medline locations.
  • Receive and direct all deliveries, including, food, printing, and flowers. Contact applicable employee upon delivery.
  • Assist in maintaining facility safety by alerting security of any suspicious activity.
  • Provide professional, accurate, and timely support to visitors and employees.

Salary

The anticipated salary range for this position:
$20.25 - $29.25 Hourly

The actual salary will vary based on applicant's location, education, experience, skills, and abilities. Medline will not pay less than the applicable minimum wage or salary threshold.
