We are seeking a proactive and detail-oriented Office Coordinator to lead the day-to-day operations of our office while also assisting in ad-hoc projects and Human Resources.

Essential Duties and Responsibilities
Facilities & Administrative Operations
  • Oversee daily office operations to ensure a productive and well-organized work environment, including maintaining cleanliness and readiness of shared spaces such as coffee stations and breakroom area.
  • Act as the primary point of contact for visitors, clients, and vendors, greeting them professionally.
  • Answer and direct phone calls and emails in a professional and timely manner.
  • Restock kitchen supplies daily, including items such as plates, napkins, utensils, coffee, and other beverages to ensure shared spaces remain well-equipped and ready for use.
  • Organize shipments to and from our headquarters, including international shipments.
  • Submit, coordinate and monitor maintenance activities (HVAC, plumbing, electrical).
  • Administer incoming mail, including pickup, sorting, scanning, and electronic forwarding.
  • Manage USPS account, including balance reloading and postage printing as needed.
  • Track usage and reorder supplies to ensure operational continuity.
  • Serve as a liaison with vendors to support business needs.
  • Coordinate office lunch logistics, including placing orders, setting up meals, and handling post-lunch cleanup.
  • Coordinate and distribute internal communications related to office operations and NCF business updates.
  • Gather monthly and quarterly business updates, maintain and update presentation materials, and distribute finalized decks to relevant stakeholders.
  • Collect business updates and produce a bi-monthly internal newsletter for employees.
  • Provide support to other departments on an as-needed basis.
  • Continuously seek ways to improve office efficiency and processes.
Human Resources Support
  • Coordinate onboarding tasks by tracking new hires in Jira and ensuring timely setup of workstations and access badges.
  • Facilitate the offboarding process by coordinating with IT, revoking building access, ensuring workstation cleanliness, and recovering company-issued equipment.
  • Maintain and update the organizational chart and master employee list to reflect all employee changes.
  • Coordinate monthly birthday announcements and calendars, and assist with the management of the employee recognition program.
  • Assist in preparing and sending business visitor letters.
  • Send weekly announcements highlighting new hires, promotions, and terminations.
  • Assist in planning and execution of employee engagement activities (including offsite company events).
  • Coordinate and communicate mandatory compliance training programs, ensuring timely completion and tracking throughout the organization.
  • Assist with bi-weekly reminders for timesheet submission.
  • Assist with Open Enrollment and Performance Management Process.
  • Other duties as assigned.
Qualifications
  • Proven experience as an office or HR coordinator, or similar role.
  • Ability to work independently and handle multiple priorities in a fast-paced environment.
  • Highly motivated and eager to learn.
  • Proven ability to quickly grasp new information and apply it effectively (fast learner).
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
  • Excellent verbal and written communication skills; comfortable interacting with internal teams and external partners.
  • Proactive mindset with a focus on anticipating needs and solving problems before they arise.
  • Maintains strict confidentiality and exercises sound judgment when handling sensitive information.
  • High level of integrity and ethical standards in all professional interactions.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to collaborate effectively across departments and contribute to a positive team culture.
Education/Experience
  • 3-5 years of job-related experience.
  • High school diploma or general education degree (GED) preferred.

Work Environment: Typical office conditions with various noise levels

Location: Alpharetta, GA / In-office Monday through Friday, 8:30 AM - 5:30 PM
