The Health Sciences and Human Services Library at the University of Maryland, Baltimore seeks an Office Assistant to provide routine administrative and project support for digital accessibility initiatives. Under direct supervision, this position will assist with organizing, reviewing, documenting, and tracking digital content accessibility work in support of library services, digital collections, and UMB accessibility efforts.

This position will support work related to electronic documents, repository content, web-based materials, and other digital files. Duties will be performed according to established instructions, workflows, and review procedures. The position is intended to provide structured, entry-level support for accessibility-related projects while helping the library improve access to digital content.

Primary Duties
  • Assist with reviewing digital files, documents, and repository materials using established checklists and procedures.
  • Help organize, name, sort, copy, file, and track electronic documents and project records.
  • Enter, update, and retrieve project information in spreadsheets, databases, SharePoint lists, or other designated tracking systems.
  • Assist with maintaining records of accessibility issues, remediation status, completed work, and next steps.
  • Support routine document preparation and formatting tasks, including work with PDFs, Word documents, presentations, scanned materials, and other digital files.
  • Assist staff with applying basic accessibility practices to documents and digital content, following provided instructions and templates.
  • Compile basic data and project updates for supervisors, mentors, and project partners.
  • Help prepare simple documentation, guides, or workflow notes related to accessibility support activities.
  • Communicate questions, progress, and issues clearly to supervisors and assigned staff.
  • Participate in training related to digital accessibility principles, document remediation tools, library systems, and established project workflows.
  • Perform other related duties as assigned.
Knowledge, Skills, and Abilities
  • Ability to read, understand, and follow oral and written instructions.
  • Ability to communicate effectively (verbally and written) and maintain effective working relationships.
  • Ability to use standard office technology, including computers, keyboards, email, shared files, spreadsheets, and document editing tools.
  • Ability to organize and file information according to alphabetic, numeric, or other defined systems.
  • Ability to enter, retrieve, copy, sort, and maintain information accurately.
  • Ability to perform routine work with attention to detail.
Work Environment and Schedule

This position is associated with the Maryland Corps/Service Year Option program and is designed to provide meaningful, skill-building work in support of digital accessibility initiatives. The schedule is expected to be at least 30 hours per week and generally fall within regular business hours. HSHSL operates in a hybrid environment while maintaining consistent onsite staffing. The employee should expect to work onsite the majority of the time to support training, supervision, mentorship, and collaboration.

Position Context

The position will support HSHSL and UMB efforts to improve the accessibility of digital content, including materials from the UMB Digital Archive and other library-supported digital services. Work will be closely guided and reviewed by supervisors and mentors. As skills develop, the employee may take on additional routine responsibilities related to their position and within established accessibility workflows.

Appointment Term:

This is a temporary, 9-month appointment. The hiring range shown above reflects the annual salary range for the position; actual compensation will be prorated based on the 9-month appointment term.

Qualifications

Education: High school diploma or GED.

Experience: None required.

Preferred Qualifications
  • Experience using Microsoft Word, Excel, Adobe Acrobat, SharePoint, or similar tools.
  • Experience working with digital files, scanned documents, PDFs, spreadsheets, or online forms.
  • Interest in learning about accessible documents, web accessibility, digital archives, or assistive technologies.
  • Strong attention to detail, patience, and willingness to ask questions when instructions or procedures are unclear.

OTHER: Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
