Job summary

Del Mar College is seeking an organized OFFICE ASSISTANT to support the Career Development Centers. This part-time role requires clerical tasks, front desk duties, and coordination with students, employers, and faculty to keep operations running smoothly.

Responsibilities include handling communications, scheduling, file upkeep, and assisting with events and daily office activities. A high school diploma or GED and basic Office skills are required.

Qualifications

  • High school diploma or GED equivalency.
  • Six months office/clerical related experience.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Ability to communicate with a diverse student population, employers and faculty.

Responsibilities

  • Assist in overseeing the daily operations of the Career Development facilities and offices.
  • Oversee department budget, prepare budget reports and documents, and oversee department spending.
  • Answer the telephone, take messages, and make appointments for the department as appropriate.
  • Responsible for keeping the work-study students informed of any department updates, daily tasks, department events/ activities, and ensure coverage of the career facilities.
  • Exhibit excellent customer services skills, be familiar with all aspects of Del Mar College campus services and programs.
  • Collaborate with staff and faculty utilizing our center and services. Able to effectively communicate with employers and instruction of services.
  • Provide daily operation update to Career Development Coordinator.
  • Effectively represent the Career Development Department in various on and off campus groups including faculty, media, student population and/or the general public.
  • Other duties as assigned.

Position Summary Information

Job Description Summary

The purpose of this position is to provide clerical or direct support to the Career Development Centers (full-time and part-time staff) and its students. The expectation of this position is to communicate with internal and external entities; provide routine clerical support; and monitor the office area cleanliness and maintenance. Other duties may be assigned.

Minimum Qualifications

High school diploma or GED equivalency.
Six (6) months office/clerical related experience.

Proficient in Microsoft Office to include, Outlook, Word, Excel, Power Point.
Ability to organize activities and coordinate groups of people.
Ability to relate to a diverse student population, communicate with employers and faculty.
Ability to communicate effectively (reading, writing, listening, speaking).
Ability to work independently and follow-through on assigned tasks.
Ability to problem-solve, make decisions, and manage conflict.
Ability to use a PC in an office setting.

Preferred Qualifications

Associate’s degree in Business Administration or related field.
One year of clerical experience.
