The Office Assistant provides administrative and operational support to ensure the efficient day-to-day functioning of a busy industrial business. This position is responsible for maintaining records, coordinating communication, supporting logistics and production activities, and assisting with general office operations. Key Responsibilities
- Provide administrative support for daily office operations.
- Maintain and organize business records, files, and operational documentation.
- Coordinate communication with employees, customers, vendors, and transportation partners.
- Prepare, review, and process operational paperwork and reports.
- Assist with inventory tracking, production reporting, and data entry.
- Support scheduling and coordination of shipments, deliveries, and other operational activities.
- Answer incoming telephone calls, respond to inquiries, and direct requests appropriately.
- Maintain office supplies and assist with general office organization.
- Support management with special projects and other administrative tasks as assigned.
Qualifications
- Two or more years of administrative, office support, customer service, logistics, or operations experience preferred.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook.
- Excellent organizational, communication, and time management skills.
- Strong attention to detail and accuracy.
- Ability to prioritize multiple responsibilities in a fast-paced environment.
- Professional interpersonal skills with the ability to work effectively with individuals at all levels of the organization.
- Manufacturing, warehouse, transportation, or industrial experience is beneficial but not required.
- This position is based in a regional industrial facility and primarily works from an office environment with occasional interaction in operational areas. The role requires prolonged periods of sitting, standing, walking, and computer use, with occasional lifting of up to 30 pounds. Candidates should be comfortable working in an environment where exposure to varying temperatures, noise, and dust may occur.
