Job summary

Tailwind Concessions is seeking a Part-time Office Assistant at our Jackson, WY airport location (JAC). The role supports the General Manager with daily administrative, financial, and compliance tasks in a fast-paced airport food and beverage setting.

Responsibilities include handling deposits, invoicing, records management, payroll support, and onboarding; success depends on organization, attention to detail, and proficiency in Microsoft Office.

Qualifications

  • High school diploma or GED required; Associate degree in business, accounting, or related field preferred.
  • Experience with invoices, reconciliations, deposits, and cash handling.
  • Strong organizational skills, attention to detail, and ability to meet deadlines in a fast-paced environment.
  • Proficient in Microsoft Office, particularly Excel and Word.

Responsibilities

  • Prepare and complete daily bank deposits and bank runs, ensuring secure handling of company funds.
  • Reconcile daily cash activity and manage accounts receivable, tracking outstanding payments and supporting documentation.
  • Review, organize, and track invoices, expenses, vendor paperwork, and financial records; flag discrepancies to leadership.
  • Maintain organized filing systems (digital and physical) for operational, financial, compliance, and employee records.
  • Manage office supplies and general office administration.
  • Support payroll documentation, timekeeping follow-up, and onboarding paperwork for new hires.
  • Coordinate interview scheduling, candidate outreach, and applicant tracking.
  • Prepare reports and spreadsheets and provide direct administrative support to the General Manager.
  • Communicate with corporate departments (HR, Payroll, Finance, and Operations) as needed.
  • Ensure documentation is audit-ready and support compliance reviews and internal audits.
  • Maintain confidentiality and comply with airport authority, TSA, and company security requirements.

The Office Assistant supports the General Manager and leadership team with the daily administrative, financial, and compliance operations of a fast-paced airport food and beverage location. This role handles clerical work, recordkeeping, accounts receivable, and cash-handling processes, and serves as the liaison between the location and corporate support departments—keeping back-office operations accurate, organized, and audit-ready.

Key Responsibilities:

  • Proficient in Microsoft Office, particularly Excel and Word
  • Valid driver's license with an acceptable driving record
  • Must pass a comprehensive background check and obtain/maintain all airport security, badging, and TSA requirements for access to secured areas
Physical Requirements:
  • Ability to sit, stand, and move throughout the workday
  • Ability to occasionally lift and carry up to 25 pounds
  • Ability to travel locally for bank runs and errands

Fast-paced airport hospitality environment with regular interaction with leadership, team members, vendors, and corporate departments. Schedule flexibility may be required based on business needs.
