The Office Assistant is a part-time, non-exempt position (24 hours/week) responsible for supporting and/or taking ownership of all administrative tasks to support Equilar, Inc.’s Chicago, IL office. Administrative tasks may include, but are not limited to, HR administrative duties, calendaring, travel arrangements, and the preparation of expense reports. This person reports to the VP of Marketing at the Chicago office.
DUTIES AND RESPONSIBILITIES

This position requires part-time, in-person work at the Equilar Chicago Office three (3) days a week on Mondays, Wednesdays, and Thursdays.
Coordinate general administrative activities for the Chicago office.
Coordinate all travel arrangements for the Chicago team members and prepare and maintain their respective travel itineraries.
Screen and direct incoming calls.
Preparation of correspondence, meeting materials, and presentations.
Process expense reports.
Receive, organize, and maintain office supplies while ensuring office cleanliness.
Coordinate with the HR team at headquarters to help with HR administrative tasks – onboarding documents, filing, copying, scanning, printing, mailing, obtaining signatures, etc.
Run work-related errands outside the office as needed.
Assist with office-related issues, including but not limited to coordinating with office sharing contacts for such things as employee access, conference room scheduling, and general office coordination.
Assist with special/ad hoc projects as needed.

Microsoft Office and computer skills; must be internet savvy
EDUCATION AND EXPERIENCE
High school diploma / GED required.
Associates or Bachelor’s degree preferred.
2+ years of relevant work experience.
