UPMC Hillman Cancer Center in Butler, PA, is seeking a full-time Office Assistant to support a medical oncology office. The role focuses on managing patient appointments, answering calls, and assisting with patient check-ins and documentation.

The ideal candidate will have experience in an outpatient medical office, handle high call volumes, and be comfortable with electronic medical records and medical terminology. This is a daylight, Monday–Friday position with no evenings or weekends.

Qualifications

  • High school diploma or GED required.
  • 1 year work experience, preferably in a medical office.
  • Knowledge of medical terminology preferred.

Responsibilities

  • Verify information and records in the medical record and scheduling system.
  • Schedule, coordinate, and reschedule patient appointments and relay messages to staff.
  • Greet and register patients, provide instructions, and guide to appropriate departments.
  • Maintain waiting area cleanliness and organization.
  • Prepare patient charts for upcoming appointments.
  • Answer calls, screen, and provide information to patients and departments.
  • Maintain physician schedules and confirm appointments to ensure proper timing.
  • Complete paperwork such as encounter forms and referrals; assist with billing information.

Responsibilities:
  • Verify necessary information and records in the medical record and computerized scheduling system.
  • Schedule, coordinate, and reschedule patient's appointments. Relay necessary messages to staff and providers.
  • Greet and register patients in a polite, prompt, helpful manner. Provide any necessary instructions/directions. Inform appropriate department/person of person's arrival performing appropriate check-in and check-out functions.
  • Maintain clean, orderly waiting area including beverage area and reading materials.
  • Prepare patient charts for upcoming appointments.
  • Answer telephone, screens calls, takes messages, and provides information.
  • Maintain and update current information on physician's schedules ensuring that patients are scheduled properly and appointments are confirmed.
  • Complete necessary paperwork such as encounter forms and referrals. Use computer system to generate information necessary for billing.
  • Answer questions regarding patient appointments and testing.
  • Complies with all UPMC Health System policies and procedures. Maintain strict confidentiality related to medical records and other data.
  • Utilize appropriate modules of the automated financial management system for scheduling, information verification, entering charges, co-payment collection/ reconciliation and other tasks.
Qualifications:
  • High school diploma or GED is required.
  • 1 year work experience, preferably in a medical office setting.
  • Knowledge of medical terminology preferred.
  • Word processing and computer experience preferred.
Licensure, Certifications, and Clearances:
  • Act 34
