Qualifications

  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to pass a pre-employment and random drug screening, and pre-employment background check.
  • Strong written and verbal communication skills; detail-oriented and self-motivated.

Responsibilities

  • Greet visitors, answer phones, and direct inquiries professionally.
  • Manage incoming and outgoing mail and correspondence.
  • Maintain office supplies, equipment, and vendor relationships.
  • Order and monitor WEX, Home Depot, Verizon, business cards and other items.
  • Prepare and format letters, reports, and internal communications.
  • Provide administrative assistance to leadership and project teams as needed.
  • Maintain confidential employee and business records.
  • Support the President, HR and accounting with basic miscellaneous tasks.
  • Ensure the office environment is organized, welcoming, and efficient.
  • Maintain accurate records for company vehicles, registration, insurance, maintenance logs, and mileage tracking.
  • Oversee DOT driver qualification files – ensuring up-to-date medical cards, licenses, MVRs, and training documentation.
  • Work with project and field managers to ensure compliance with company and DOT standards.

The Office Administrator manages daily office operations, provides administrative support to leadership, and ensures smooth communication across departments. This role combines receptionist, secretary, and office management duties to keep the organization running efficiently.

Essential Duties and Responsibilities
  • Greet visitors, answer phones, and direct inquiries professionally.
  • Manage incoming and outgoing mail and correspondence.
  • Maintain office supplies, equipment, and vendor relationships.
  • Orderand monitorWEX, Home Depot,Verizon,businesscardsand otheritems.

  • Work with project and field managers to ensure compliance with company and DOT standards.

Work Conditions

Office hours: Monday–Friday, 8:00 AM – 5:00 PM (or as agreed upon by management). Typical office environment with moderate noise level (phones, printers, conversation). $23.00 - 26.00/DOE
