Soni is seeking an Office Administrator to support daily operations, HR functions, and office management. The role requires strong organizational skills, attention to detail, and the ability to handle multiple priorities while delivering excellent internal and external service.

Responsibilities include onboarding, HR records, payroll-related tasks, vendor management, and maintaining compliance documentation. This full-time, temp-to-hire position offers growth opportunities within a dynamic team.

Qualifications

  • 2+ years of administrative/office management/HR/ops experience preferred.
  • Strong organizational and time management skills with attention to detail.
  • Excellent written and verbal communication.
  • Proficiency in MS Office Suite and Google Workspace.

Responsibilities

  • Coordinate onboarding and employee records management.
  • Assist with employment verification and employee records management.
  • Process employee terminations and maintain related documentation.
  • Support workers' compensation, unemployment claims, and appeals.
  • Administer child support orders and wage garnishments.
  • Coordinate annual tax documents (W‑2s, 1099s) and HR compliance activities.
  • Maintain labor law postings and HR compliance documentation.
  • Conduct background checks and create employee personnel files.
  • Assist employees with HR-related questions and administrative requests.
  • Manage daily office operations and maintain an organized, professional workplace.
  • Order and maintain office, kitchen, and operational supplies.
  • Coordinate mail, shipping, courier services, and certified mail.
  • Manage office inventory and vendor relationships.
  • Schedule maintenance requests and oversee building-related needs.
  • Coordinate bank deposits and manage check stock.
  • Maintain filing systems and administrative records.
  • Assist with password resets and general administrative support.
  • Support executive staff with mail forwarding and other administrative tasks.
  • Coordinate office events, employee recognition, and special occasions.
  • Manage vendor relationships and ensure timely procurement of supplies and services.
  • Request and maintain Certificates of Insurance (COIs) and W‑9 documentation from vendors.
  • Track inventory levels and coordinate replenishment.
  • Process special orders for operational materials, office equipment, and branded supplies.
  • Maintain spreadsheets and operational tracking reports.
  • Assist with gift card administration and inventory management.

Responsibilities:
Human Resources & Employee Administration
  • Coordinate new hire onboarding, including preparing materials and supplies.
  • Assist with employment verification and employee records management.
  • Process employee terminations and maintain related documentation.
  • Support workers' compensation, unemployment claims, and appeals.

  • Coordinate utility setup, business licenses, permits, and tax registrations.
  • Prepare locations with necessary operational supplies.
  • Maintain project checklists and track completion of key milestones.
General Administrative Support
  • Support cross-functional teams with special projects.
  • Maintain organizational systems and improve administrative processes.
  • Coordinate meetings, lunches, and company events.
  • Perform additional administrative duties as assigned.
Qualifications:
  • 2+ years of administrative, office management, HR, or operations experience preferred.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience working with confidential information while maintaining discretion.
  • Strong customer service and interpersonal skills.
  • Ability to work independently while collaborating effectively with cross-functional teams.

Compensation: $55,000

Salary is based on a range of factors that include relevant experience, knowledge, skills, other job-related qualifications.
