Key Responsibilities - Office Administrator
- Answer and direct incoming phone calls while serving as the first point of contact for visitors
- Prepare conference rooms and coordinate meetings, schedules, lunches, and catering arrangements
- Maintain office supplies, common areas, breakrooms, and overall office organization
- Manage incoming and outgoing mail, packages, and deliveries
- Assist with monthly check runs and bank reconciliation activities
- Prepare and distribute monthly tenant invoices and statements
- File, scan, and organize invoices and support documentation
- Update and maintain tenant sales records and related reporting
- Provide administrative and operational support to multiple departments
- Assist with special projects, office initiatives, and other assigned ad hoc admin tasks
- Support data entry efforts related to system migration projects
Qualifications - Office Administrator
- Previous experience in office administration, reception, administrative support, or office coordination
- Comfortable serving as a professional, front-facing representative for the organization
- Strong organizational skills with excellent attention to detail
- Experience with high-volume data entry and document management
- Ability to scan, file, and maintain accurate records
- Strong verbal and written communication skills
- Experience coordinating meetings, calendars, and office logistics
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel
- Basic accounting or bookkeeping experience, including invoice processing, check runs, or bank reconciliations preferred
- Positive, self-motivated, and team-oriented approach
- Ability to work fully onsite in Nashville, TN
- High school diploma or equivalent required; additional administrative or business coursework preferred
- Experience with property management, accounting software, or system conversions is a plus
