Job summary

Utilities One in Moorestown, NJ, is seeking an Office Administrator to manage front-desk operations, mail handling, and general office duties. You will support employees and leadership, coordinate meetings, prepare reports, and maintain supplies in a fast-paced environment.

The role requires a welcoming, organized, dependable candidate with strong communication skills and proficiency in Outlook, Word, and Excel. This is a full-time, on-site position reporting to Governance & Administration.

Qualifications

  • Preferred experience in reception, office administration, or similar roles.
  • Professional and friendly demeanor with strong customer service.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple requests and prioritize tasks.
  • Proficiency with Microsoft Outlook, Word and Excel.
  • Willingness to work on-site and support various office tasks.

Responsibilities

  • Welcome visitors, clients, and vendors; notify the appropriate employee of arrival and coordinate meetings.
  • Maintain a tidy, organized, and welcoming reception area.
  • Prepare and serve coffee, tea, and refreshments for visitors and meetings.
  • Answer the company phone, direct calls, take accurate messages, and relay them promptly.
  • Receive, sort, and distribute incoming mail and packages.
  • Scan incoming correspondence and email to recipients promptly and accurately.
  • Prepare outgoing mail and packages, create shipping labels, and coordinate pickups.
  • Order office supplies, monitor inventory, and replenish supplies as needed.
  • Coordinate lunch and catering orders for meetings and events.
  • Support meeting preparation, including room setup and materials.
  • Print company checks as directed by Finance following procedures.
  • Provide general administrative support including printing, copying, scanning, filing, data entry.
  • Assist with day-to-day requests and coordinate with staff, vendors, and service providers.
  • Handle documents and confidential financial information discreetly.

The Receptionist / Office Administrator serves as the first point of contact for visitors and callers and supports the daily operation of the office. This role manages reception, processes mail, coordinates office supplies and lunch orders, and provides administrative support to employees and management. The ideal candidate is welcoming, organized, dependable, and attentive to detail.

Skills, Knowledge and Expertise
  • Previous experience in reception, office administration, customer service, or a similar role preferred.
  • Professional, friendly demeanor and strong customer service skills.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple requests, prioritize tasks, and follow through reliably.
  • Proficiency with Microsoft Outlook, Word, and Excel.
  • Comfort using office equipment, including printers, scanners, and phone systems.
  • Ability to work independently, follow procedures, and exercise discretion.
  • Willingness to support a variety of office tasks and maintain consistent on-site attendance.
