Position Overview

We are seeking a highly organized and dependable Office Administrator to oversee the daily administrative operations of our fast-growing commercial cleaning company. The ideal candidate is detail-oriented, proactive, and customer-service focused, with the ability to manage multiple responsibilities in a dynamic environment. This role is essential in bridging the gap between office administration and field operations, helping ensure our team functions efficiently and effectively.

Key Responsibilities

  • Manage day-to-day office operations to maintain an organized and productive environment.
  • Coordinate team schedules, meetings, and travel arrangements as needed.
  • Oversee office supply procurement, inventory tracking, and vendor relationships.
  • Serve as the primary point of contact for clients, vendors, and visitors, ensuring a professional and welcoming experience.
  • Respond to incoming communications (calls, emails, and mail) promptly and professionally.
  • Provide administrative support across departments, assisting with documentation and general office tasks.
  • Maintain accurate and up-to-date records and filing systems (digital and physical).
  • Assist in preparing reports, presentations, and other business-related documents.
  • Develop and implement office procedures and policies to streamline workflows.
  • Review employee timekeeping records and assist in payroll processing for accuracy and compliance.
  • Collaborate with HR and Finance to resolve payroll or timekeeping discrepancies.
  • Manage day-to-day accounts payable, deposits, and other basic financial transactions.

Qualifications

  • Previous experience as an Office Manager, Administrative Assistant, or similar role required.
  • Strong organizational and time-management skills with excellent attention to detail.
  • Professional verbal and written communication skills.
  • Ability to multitask, prioritize, and adapt in a fast-paced service environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Experience with office management and payroll software is a plus.
  • Ability to work independently and collaboratively across teams.

Job Type: Full-time

Pay: $24.00 - $25.00 per hour

Expected hours: 35 – 40 per week
