The incumbent will assume a set of tasks and responsibilities aimed at supporting the entire office, assisting the leadership team, and handling various ad hoc activities.

Responsibilities

  1. Greet clients and visitors as a Frontmatec Ambassador, creating a positive first impression.
  2. Manage the front desk and common areas, ensuring they are clean, organized, and welcoming at all times.
  3. Provide comprehensive administrative support to office staff and leadership, including document preparation, supply management, and general office coordination.
  4. Assist with payroll processing tasks in collaboration with HR and finance to ensure timely and confidential handling of employee compensation.
  5. Support HR functions such as onboarding new hires, coordinating interview logistics, posting job openings, and maintaining candidate tracking systems.
  6. Maintain confidentiality standards when handling personnel files, payroll data, and sensitive business information.
  7. Coordinate and maintain internal communication platforms and employee information.
  8. Plan and support company events and internal engagement initiatives (e.g., summer party, holiday celebrations).
  9. Organize and facilitate meetings and events, including scheduling, room coordination, agenda preparation, and minute-taking.
  10. Provide cross-functional administrative support to departments such as Sales, Service, and Accounting.
  11. Take ownership of ad hoc projects and special assignments as needed.

Qualifications

  1. Previous experience in an administrative, office coordinator, or HR support role is strongly preferred.
  2. Strong interpersonal and communication skills with a passion for delivering exceptional service.
  3. High level of professionalism, discretion, and attention to detail.
  4. Ability to manage multiple priorities with ease and stay calm under pressure.
  5. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  6. Comfortable working in a dynamic environment with varied responsibilities.
