The Office Administrator is responsible for providing administrative support by conducting various clerical functions, scheduling calendar matters, arranging for and preparing for various meetings, and performing various other administrative research, reports, and analysis.
Essential Job Duties
- Prepares, writes, edits, and develops Word and PowerPoint documents as needed.
- Prepares, edits, researches, and analyzes Excel documents such as reports, charts, and related data depictions.
- Performs general office duties such as ordering supplies, maintaining files and records, and organizing documents using physical files and databases.
- Greets visitors, interviewees, and other meeting attendees as needed.
- Coordinates and prioritizes work duties to meet deadlines and changing needs with short notice.
- Provides branch manager support.
- Coordinates special events (branch openings, customer appreciation events, etc.)
- Orders literature and promotional items.
- Performs clerical and administrative functions for other senior leaders as needed. Duties may include use of Word, Excel, PowerPoint, Outlook, and other company used systems.
Customer Interaction
- Provides excellent customer service through timely customer interaction, problem resolution or escalation with effective and efficient follow-up.
- Establishes and maintains professional business dealings with customers and vendors at all times.
- Conducts personal interactions with customers representative of a company with strong, ethical standards.
- Supports valued business relationships in all dealings with related departments aiming to resolve customer and other issues in a timely manner. Approaches peers and customers with a spirit of positive problem resolution.
- Provides excellent customer service through effective credit conversations and collections efforts.
Office Administration
- Responsible for overseeing office supply levels and approving replenishment orders.
- Ensure proper phone coverage for office.
- Oversee imaging processes
- Coordinate office cleaning and carpet cleaning and ensure office is organized and safe for personnel.
- Conduct regular emergency drills for all office personnel as directed by safety committee.
- Maintain updated roster and emergency contact list for all office personnel.
- Ensure proper funds for postage machine and coordinate replenishment orders.
Financial Reporting (assists Branch Manager with the following)
- Responsible for following all cash handling procedures, including daily deposits and balancing
- Ensures that deposits are sent to corporate.
- Promptly communicates to Accts Receivable Dept. on payments on account
- Conducts daily batching and management of Invoice Preview Queue
- Conducts daily processing and entry of RMA’s and customer credits
- Conducts daily balancing of cash box and petty cash, immediately communicating any discrepancies
- Follow company procedures relating to credit authorizations
Other
- Maintains proficiency with company computer systems in aspects related to job, such as data entry, messaging, call logs, data notations, queue updates, batching, or other job & office functions and requirements

Preferred Job Requirements
- 3 or more years’ experience with clerical, administrative, and office related functions.
- Advanced Excel skills, application, and practical use.
Minimum Job Requirements
- High School diploma or its GED equivalent
- 1 or more year experience with office, operations, branch related functions
- Intermediate Excel skills, application, and practical use.
- Aptitude and ability to perform physical and worksheet data analysis as well as convert analysis trends, markers, and summaries into charts, graphs, and other related graphical depictions.
- Demonstrated knowledge of MS Office suite applications (Word, Excel, PowerPoint, Outlook)
- Aptitude for mathematical operations and numerical analysis.
- Use computers, photocopiers, scanners, phone systems and meeting and virtual platform sharing relative to the needs of the job.
- Minimum keyboarding skills of 40 words per minute.
