About Us:

We are currently seeking an experienced and highly organized Office Administrator to support our day-to-day operations and administrative functions as well as some bookkeeping responsibilities.

Position Summary:

The Office Administrator will play a key role in ensuring the smooth and efficient operation of the family office. This individual will be responsible for managing office logistics, supporting the team with administrative tasks, liaising with vendors and service providers, and handling confidential information with professionalism and discretion.

Key Responsibilities:

  1. Manage daily office operations, including maintaining office supplies, equipment, and coordinating maintenance.
  2. Serve as the first point of contact for internal and external communications, including handling calls, emails, and correspondence.
  3. Maintain calendars, schedule meetings, and coordinate travel arrangements for family members and staff.
  4. Prepare and proofread documents, reports, and presentations.
  5. Assist with accounting and bookkeeping tasks, including invoice processing, expense reporting, and liaison with external accountants.
  6. Maintain organized filing systems for physical and digital records.
  7. Manage relationships with vendors, service providers, and other external stakeholders.
  8. Assist with event planning and family-related logistics, including special projects, celebrations, or travel.
  9. Ensure confidentiality and security of sensitive information.

Qualifications:

  1. Minimum 3-5 years of administrative experience; experience in a family office, private wealth, or boutique firm is highly preferred.
  2. Exceptional organizational and multitasking skills.
  3. Strong verbal and written communication abilities.
  4. High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  5. Familiarity with accounting software (QuickBooks and Quicken) and digital file management systems is preferred.
  6. Ability to exercise discretion and handle confidential information appropriately.
  7. Professional demeanor and a proactive, service-oriented attitude. Must be easy to work with.
