Job summary

Hylant in Columbus, OH is seeking an Office Administrator to support day‑to‑day operations in a full‑time in‑office role. You will greet visitors, handle calls, mail, and access control, and provide broad administrative support for staff at the location.

You will coordinate onboarding activities with HR, serve as a liaison to Marketing and IT, and lead projects and events while managing invoices and vendor communications to ensure smooth office functioning.

Qualifications

  • High school diploma or equivalent required.
  • Ability to work in Columbus, OH office five (5) days per week.
  • Minimum of one (1) year of administrative office experience.
  • Maintain confidentiality about management or business information.
  • Exceptional attention to detail, communication, and interpersonal skills.
  • Strong prioritization, organizational, project management and time management skills.
  • Proficiency with Microsoft Office suite of products.

Responsibilities

  • Greet, welcome and direct visitors to the appropriate person and/or location.
  • Answer, screen and forward calls; receive, sort and distribute mail/deliveries.
  • Maintain office security by following safety procedures and controlling access at reception.
  • Provide general administrative support to all employees at the location.
  • Coordinate on site interviews, onboarding and first day orientation with HR/Talent.
  • Serve as liaison for Marketing and for IT at the location.
  • Coordinate and lead projects; address problems and concerns promptly.
  • Plan and coordinate internal and external events and meetings including setup and catering.
  • Manage office accounting tasks such as scanning invoices and reconciling expenses.
  • Collaborate with administrative staff across Hylant network to share best practices.
  • Perform other duties and special projects as requested.

All responsibilities are essential to ensuring office operations running smoothly while adhering to Hylant policy, procedure, and core values. The Office Administrator role is primarily a full time in office position due to the nature of responsibilities. Responsibilities and hybrid work flexibility may vary based on assigned location.

In This Role You Will Execute On

  • Greet, welcome and direct visitors to the appropriate person and/or location.
  • Answer, screen and forward all incoming calls; receive, sort and distribute daily mail/deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Provide general administrative support to all employees at the assigned location.
  • Serve as an employee ambassador for HR/Talent including, but not limited to, coordinating on site interviews, preparing new hire agendas, conducting first day orientation, and coordinating with the hiring manager and other stakeholders to ensure a welcoming and engaging onboarding experience.
  • Serve as the location’s liaison for Marketing
  • Serve as the location’s liaison for IT
  • Coordinate and lead projects, quickly addressing and solving problems and concerns
  • Manage facility and equipment needs; working with the property management company to ensure the office space is properly maintained and safe; work with outside vendors to ensure all location equipment is in working order.
  • Plan and coordinate internal and external events and meetings. This includes managing or performing set-up, catering, equipment needs, and clean up as required.
  • Manage accounting functions for the office such as scanning invoices, coordinating payments to vendors, and reconciling monthly expenses statements.
  • Collaborate with administrative staff across the Hylant network to share and recommend
  • best practices, provide back-up and project support, and ensure consistency of administrative practices.
  • Perform other duties and special projects as requested.
In This Role You Will Need
  • High school diploma or equivalent required.
  • Ability to work in Columbus, OH office five (5) days per week.
  • A minimum of one (1) year of work experience in an administrative office role.
  • Must have the ability to maintain confidentiality about management or business information and protect sensitive information.
  • Exceptional attention to detail, communication, and interpersonal skills.
  • Strong prioritization, organizational, project management and time management skills.
  • Proficiency with Microsoft Office suite of products.
