Office Administrator - Professional Services

We are currently seeking candidates for an OfficeAdministrator opportunity with a highly successful law firm based in Boston, MA. The Office Administratorwill support employee onboarding and offboarding, coordinate training schedules with the Training Manager, provide administrative support to payroll, and assist with day-to-day employee relations by responding to routine questions regarding company policies, benefits, procedures, and workplace guidelines. The ideal candidate will have 2–4+ years of Human Resources and administrative support experience within a professional services environment.

This is a 3–6+ month contract-to-hire opportunity paying $40–$50 per hour, depending on experience. The role follows a hybrid work model based out of the firm's Boston office.

Responsibilities
  • Provide administrative support to payroll, including assistance with 1099 documentation, timekeeping records, and related tasks.
  • Coordinate and manage interview scheduling in partnership with the recruiting team.
  • Provide day-to-day employee relations support by responding to routine questions regarding company policies, benefits, procedures, and workplace guidelines.
  • Support employee onboarding and offboarding activities in partnership with the Human Resources team.
  • Coordinate training schedules with the Training Manager and work with IT to ensure employees receive appropriate system access.
  • Assist employees with benefits-related questions, including explaining available programs to new hires and supporting current employees.
  • Contribute to the development and improvement of internal processes, procedures, and standard operating procedures.
  • Provide administrative support to the executive team, including meeting coordination, scheduling, internal communications, memos, and other administrative needs.
  • Assist with executive and meeting logistics, including coordinating conference rooms, preparing materials, recording meeting minutes, and arranging food and refreshments.
  • Provide additional support as needed.
Qualifications
  • Bachelor’s degree in Business, Administration, Human Resources, or a related field.
  • 2–4+ years of experience in Human Resources and administrative support.
  • Demonstrated experience providing HR and general administrative support in a professional environment.
  • Strong computer and systems proficiency, including Microsoft Office Suite.
  • Excellent written and verbal communication and interpersonal skills.
  • Highly organized and professional, with strong attention to detail.
  • Excellent time management skills with the ability to prioritize multiple responsibilities and consistently meet deadlines.
