We're looking for a highly organized, ambitious and professional Office & Administrative Coordinator to join our team.

This role serves as the face of our office and a key partner in supporting day-to-day operations. You'll interact with employees, executives, visitors, and external partners while gaining exposure to a broad range of administrative, operational, and business activities. What You'll Do
Office & Front Desk Operations
  • Serve as the first point of contact for visitors, employees, candidates, and vendors, ensuring a welcoming and professional experience.
  • Answer and direct incoming calls, emails, and office inquiries.
  • Manage visitor access, office security procedures, and guest registration.
  • Coordinate incoming and outgoing mail, packages, and courier services.
  • Prepare conference rooms and common spaces for meetings and events.
  • Ensure the office remains organized, professional, and ready to support business activities.
Administrative & Executive Support
  • Provide administrative support to leaders and team members across the organization.
  • Coordinate calendars, meetings, travel arrangements, and logistics.
  • Assist with expense reporting, purchasing requests, and other administrative processes.
  • Organize digital and physical records in accordance with company policies.
  • Support internal and external meetings by preparing materials and coordinating logistics.
  • Assist with special projects and initiatives that contribute to the success of the organization.
Employee Experience & Office Operations
  • Maintain office supply inventories and coordinate purchasing activities.
  • Assist with onboarding preparations for new employees and visitors.
  • Help coordinate employee events, meetings, community initiatives, and office activities.
  • Partner with vendors, building management, and service providers to support office operations.
  • Coordinate maintenance and service requests for office equipment and facilities.
  • Handle sensitive and confidential information with professionalism and discretion.

  • Bachelor's degree preferred, or equivalent work experience.
