Job summary

Hematology Oncology Associates of the Palm Beaches is seeking a patient scheduling coordinator to manage incoming referrals, verify information, and coordinate with physicians and support teams to schedule new patient appointments.

You will work closely with medical records, insurance teams, and clinical staff to ensure accurate documentation, timely scheduling, and clear communication with patients, all within a compassionate and patient-centered environment.

Qualifications

• Evaluate incoming patient referral documents for completeness and accuracy.
• Communicate with referring and attending physicians to clarify medical information.
• Work closely with the Medical Records department to obtain missing documentation.
• Coordinate with insurance verification and authorization teams to ensure pre-appointment requirements are met.

• Document all patient communications and scheduling activities in the EMR system.
• Triage calls and inquiries related to new patient scheduling and route to appropriate staff.
• Track and follow up on incomplete referrals or missing documentation to avoid delays in patient care.

Job Description

• Evaluate incoming patient referral documents for completeness and accuracy.
• Communicate with referring and attending physicians to clarify medical information or obtain additional details.
• Work closely with the Medical Records department to obtain any missing documentation based on the patient’s diagnosis and scheduling requirements.
• Contact patients to schedule new appointments, prioritizing based on medical urgency and clinical guidelines.
• Review and evaluate incoming patient medical records and referral documentation to determine the complexity and urgency of diagnoses.
• Collaborate with physicians and clinical teams to assess the appropriate level of care and identify the best-suited provider and appointment type.
• Schedule new patient appointments with attention to diagnosis severity, physician availability, and continuity of care.
• Communicate appointment details, preparation instructions, and care expectations to patients clearly and compassionately.
• Coordinate with insurance verification and authorization teams to ensure pre-appointment requirements are met.
• Document all patient communications and scheduling activities in the electronic medical record (EMR) system.
• Triage calls and inquiries related to new patient scheduling, routing complex clinical questions to appropriate staff.
• Track and follow up on incomplete referrals or missing documentation to avoid delays in patient care.
• Support quality and performance improvement initiatives related to patient access, care coordination, and scheduling accuracy.
