Job summary

California Pain seeks a detail-oriented New Patient Coordinator to join their San Diego practice. You will guide patients through insurance verification, scheduling, and referral processes to ensure timely access to pain management care.

In this fast-paced setting, you will interact with patients, providers, and payers, handling documentation, authorizations, and case coordination while maintaining accuracy in the EMR system.

Qualifications

• Minimum 2–3 years of medical front office experience.
• Strong knowledge of insurance verification, benefits investigation, and prior authorizations.
• Familiarity with EMR/EHR systems (Athena, Epic, NextGen, etc.).
• Excellent organizational and communication skills.
• Detail-oriented with accuracy in data entry.
• Knowledge of San Diego-area IPA/medical group referral processes is highly preferred.

Responsibilities

• Serve as the first point of contact for new patients via phone and electronic communication.
• Coordinate and schedule new patient appointments with provider availability and referral requirements.
• Verify insurance benefits, eligibility, and coverage specifics for pain management services.
• Obtain and process referrals and prior authorizations per HMO, PPO, Medicare, Medi-Cal, and Workers’ Compensation rules.
• Communicate with referring providers, case managers, and insurance companies to ensure documentation is received.
• Enter and maintain patient demographics, insurance, and referral data in the EMR system.
• Educate patients on insurance coverage, out-of-pocket costs, and required documentation.
• Ensure compliance with state, federal, and payer-specific regulations.
• Track referral status and follow up on pending authorizations to prevent delays.
• Collaborate with clinical and billing teams to resolve insurance or scheduling issues.
