Responsibilities

  • Process new client applications and account-opening paperwork from start to finish.
  • Coordinate and track account transfers, new accounts, and pending transactions.

  • Maintain accurate client notes and activity within the CRM.
  • Assist with advisor meetings, documentation, and filings as needed.

New Business Processor– Wealth Management

Location: Lakewood, CO

About the Opportunity

An established independent wealth management firm is seeking a New Business Processor to join its growing team. This is a client‑facing operations position for someone who enjoys building relationships, staying organized, and making sure every detail is handled correctly from the time a new account is opened through the completion of transfers and funding. This is not a sales or business development role. Instead, you will work closely with existing clients, prospective clients, and Financial Advisors to make the new business process as smooth and efficient as possible.

The ideal candidate enjoys working with people just as much as they enjoy getting the details right. You should be comfortable owning a process from beginning to end, following up persistently when something is outstanding, and keeping clients informed along the way.

What You’ll Do
  • Process new client applications and account-opening paperwork from start to finish.
  • Coordinate and track account transfers, new accounts, and other pending transactions.
  • Follow up with custodians and financial institutions regarding outstanding paperwork and transfer status.
  • Communicate directly with clients to provide updates and resolve new account or transfer‑related questions.
  • Receive incoming new business calls and provide a friendly, professional client experience.
  • Maintain accurate client notes, records, and activity within the firm's CRM.
  • Prepare paper and electronic applications for upcoming advisor meetings.
  • Attend client meetings when needed to assist with applications and transfer documentation.
  • Create and maintain appropriate electronic and physical client files.
  • Process additional client contributions and check deposits.
  • Resolve issues involving new accounts, transfers, amendments, and other account paperwork.
  • Assist Financial Advisors with preparation for upcoming client appointments.
  • Maintain required documentation and compliance logs.
  • Process Broker/Dealer change paperwork as needed.
  • Assist with new business projects, audits, and other operational initiatives.
  • Help train new advisors on new business paperwork and internal processes.
  • The role has significant ownership over new account processing, including applications, transfers, pending‑business tracking, weekly client updates, and advisor preparation.
What We’re Looking For
  • Previous experience within the financial services, wealth management, RIA, brokerage, or investment industry.
  • Experience with ACATs/account transfers is strongly preferred.
  • Experience processing new accounts, applications, or other financial‑services paperwork.
  • Strong organizational skills and attention to detail.
  • Excellent follow‑through and the persistence to keep transactions moving forward.
  • Comfortable communicating directly with clients by phone and building trust over time.
  • Proactive approach to supporting both clients and Financial Advisors.
  • Strong problem‑solving skills and the ability to work through account or paperwork issues.
  • Ability to work effectively in a fast‑paced environment with multiple priorities.
  • Comfortable learning new technology, systems, and processes.
  • Experience with Redtail CRM or a similar wealth management CRM is a plus.
  • Someone who genuinely enjoys process‑oriented work and ensuring paperwork is completed accurately.
  • The firm specifically emphasizes financial‑industry experience, ideally including ACAT exposure, along with strong organization, client communication, problem‑solving, and a process‑driven approach.
