Our client, a fast-growing financial services firm, is hiring a Client Service Associate to support a high-performing advisory team at the center of client service and daily operations.
They’re looking for a true rock‑star operator, someone with entrepreneurial drive who takes ownership, solves problems without hand‑holding, and naturally spots ways to improve systems and workflows. This person is proactive, organized, and ambitious, thrives in a fast‑paced environment, and doesn’t want to be micromanaged. Client Service and Relationship Support
- Act as the primary point of contact for inbound client service requests
- Respond to client inquiries via phone and email with professionalism and urgency
- Schedule client meetings and manage follow‑ups across the client lifecycle
- Maintain accurate and complete client records across firm systems
Operations and Administrative Execution
- Prepare and process new business paperwork for investments and insurance
- Coordinate insurance underwriting requirements, including applications, paramedical exams, statements of health, and communication with New Business teams
- Manage advisor calendars, including confirmations, reminders, and scheduling changes
- Set up and maintain household files and digital records
- Ensure documentation and workflows meet compliance and regulatory requirements
Systems, Platforms, and Workflow Management
- Track tasks and workflows using the firm’s task management system
- Support insurance pipelines, including life, disability, and annuity applications
- Assist with account opening, proposal preparation, and financial planning submissions
- Work across CRM, document storage, financial planning, portfolio management, and compliance platforms
- Communicate with internal and external partners to ensure timely processing and follow‑through
Marketing, Events, and Team Support
- Support client workshops, seminars, and appreciation events
- Collaborate with the Marketing Director on joint initiatives
- Participate in team meetings, training, and onboarding activities
- Shadow client meetings to understand the firm’s service model and planning process
- 3+ years in an administrative support, executive assistant, or client service role
- Experience in financial services, insurance, or a broker‑dealer environment is required
- Entrepreneurial, growth‑minded self‑starter with excellent organization, communication, and follow‑through
- Comfortable learning and working across multiple systems and platforms
- Client‑first mindset with a service‑oriented approach
