Job summary

Masis Professional Group is an independent advisory firm dedicated to building lasting client relationships. We seek a detail-focused operations professional to manage day-to-day practice workflows and deliver exceptional client service.

You will handle new business paperwork, applications, and CRM data entry while supporting advisors with pre-appointment prep and calendar reviews. This role emphasizes accuracy, reliability, and timely communication in a fast-paced environment.

Qualifications

  • Prior experience in financial industry preferred (ACAT experience a plus).
  • Highly organized with strong follow-through.
  • Process-driven and detail-oriented.

Responsibilities

  • Receive incoming new business client calls in a friendly, warm manner.
  • Record notes from every client conversation in the firm's CRM, alerting leadership if issues arise.
  • Attend client meetings to complete applications and transfer paperwork.
  • Complete and process new business applications from start to finish.
  • Track all pending applications and transactions.
  • Create appropriate client files for each new account, electronic and paper as needed.
  • Submit any additional client contributions or check deposits to appropriate accounts.
  • Follow up on pending new business work with the appropriate companies.
  • Resolve issues regarding new accounts, transfers, or amendments.
  • Update clients weekly on their accounts and enter data into the CRM.
  • Assist advisors with pre-appointment preparation (applications, etc.) by reviewing weekly calendars.
  • Complete, submit, and maintain compliance logs for check deposits.
  • As needed: train new advisors on the process for new business paperwork.
  • Ensure paper applications and transfer paperwork are stocked in New Business.
  • Process broker/dealer change paperwork.
  • Assist with New Business-related special projects or audits.

Job description

This is a people-person position at heart. The purpose of this role is to ensure smooth day-to-day operations of the practice while providing superior customer service to existing clients and prospects. You'll perform industry-specific tasks such as application submission and account transfer follow-up, incoming new business client calls, database management, and client appointment preparation—including preparing paper and e-applications for each designated advisor.

KEY RESPONSIBILITIES
Daily

YOUR QUALIFICATIONS
  • Prior experience working in the financial industry (ACAT experience a plus)
  • Highly organized with strong follow-through

  • Phenomenal phone skills and the ability to build trust with clients
  • Proactive approach when working with advisors and clients
  • Comfortable working in a fast-paced environment
