The Role: New Business & Client Services Associate

The New Business Processor is the operational backbone of BAM's client onboarding experience. While advisors focus on building relationships and delivering financial guidance, you ensure that every new account, application, and transfer is handled with precision, care, and speed.

This role is purpose-built for someone who is highly organized, process-driven, and takes genuine satisfaction in executing complex paperwork correctly the first time. You'll work across multiple systems, coordinate with carriers and custodians, and serve as a reliable resource for both clients and advisors throughout the new business lifecycle. Your attention to detail and follow-through directly impact the client experience and the firm's ability to deliver on its promises.

Key Responsibilities

Daily Responsibilities

These are the tasks that keep the engine running. Each day, you'll be on the front lines of new business operations - communicating with clients, processing paperwork, and making sure nothing falls through the cracks.

  • Receive incoming new business client calls in a friendly, warm, and professional manner - serving as a trusted point of contact during a key moment in the client relationship.
  • Record detailed notes from every client conversation in the Redtail CRM database and promptly alert Partners or advisors if issues arise.
  • Attend client meetings as needed to complete applications, transfer paperwork, and any other new business documentation in real-time.
  • Complete and process new business applications from submission through final approval, managing each step of the workflow with accuracy.
  • Track all pending applications and transactions daily to ensure timely progression and identify any bottlenecks or outstanding items.
  • Create and maintain appropriate client files for each new account - both electronic and paper formats - consistent with firm and compliance standards.
  • Submit additional client contributions or check deposits to the appropriate accounts and confirm receipt.

Weekly Responsibilities

Consistency is key in new business operations. Each week, you'll stay ahead of pending work, keep clients informed, and help advisors walk into every appointment prepared and confident.

  • Follow up on all pending new business with the appropriate insurance companies, custodians, or carriers to resolve delays and confirm status.
  • Proactively identify and resolve issues related to new accounts, transfers, amendments, or missing documentation before they escal…
  • Update clients weekly on the status of their accounts and new business, documenting all communications accurately in Redtail.
  • Review advisors' upcoming weekly calendars to prepare all necessary applications, transfer paperwork, and pre-appointment materials.
  • Complete, submit, and maintain compliance logs for all check deposits in accordance with firm and regulatory requirements.

As-Needed Responsibilities

Beyond the daily and weekly rhythm, you'll step in wherever the team needs you - whether that's training a new advisor, supporting a compliance audit, or tackling a special project.

  • Assist in training new advisors on new business processes, paperwork requirements, and submission procedures.
  • Ensure the New Business office is consistently stocked with current paper applications, transfer forms, and required documentation.
  • Process Broker/Dealer change paperwork accurately and in compliance with firm policies.
  • Support any new business-related special projects, internal audits, or operational improvement initiatives as requested.
