Job summary

TriMark USA, LLC is seeking a National Accounts Coordinator in San Diego, CA. The role supports Sales Representatives and maintains strong customer relationships by coordinating quotes, orders, inventory, deliveries, and installations.

You will serve as a key contact for Sales Representatives, customers, and manufacturer reps, ensuring orders are processed accurately and customers receive timely updates throughout the order lifecycle.

Qualifications

  • 1–2 years of relevant experience in related fields.
  • CFSP testing within 3 years; certification preferred.
  • Proficiency in Outlook, Excel, Word; knowledge of Oracle JD Edwards and Auto-Quotes.
  • 1–2 years in foodservice/hospitality/restaurant industry.
  • 1–2 years in customer service, preferably in sales support.

Responsibilities

  • Support Sales Representatives in managing customer requests and maintaining positive customer relationships.
  • Prepare and provide accurate equipment quotes and assist with pricing and order-related inquiries.
  • Enter and process customer orders accurately and timely.
  • Create and maintain tracking spreadsheets to monitor orders, equipment availability, backorders, deliveries, installations, and other customer requests.
  • Communicate tracking updates and order status information to Sales Representatives and customers.
  • Check the status of purchase orders and follow up as needed to ensure timely processing and fulfillment.
  • Check equipment availability and stock status with manufacturer representatives.
  • Monitor backordered equipment and communicate expected availability and updates to customers and Sales Representatives.
  • Coordinate equipment deliveries and installations, including communicating scheduling information and updates.
  • Communicate with customers regarding order status, availability, backorders, delivery, and installation timelines.
  • Complete account setups, account closures, and customer contact information updates accurately and timely.
  • Answer incoming phone calls and provide professional and responsive customer service.
  • Process orders related to the safety program, ensuring requests are entered and handled accurately.
  • Maintain accurate records and documentation related to customer accounts, orders, and equipment requests.
  • Collaborate with Sales Representatives, customers, manufacturers, and internal teams to resolve order issues and ensure timely fulfillment.
  • Perform other related duties and responsibilities as assigned.

POSITION SUMMARY:

The National Accounts Coordinator plays a pivotal role in supporting Sales Representatives and maintaining strong customer relationships by providing responsive, accurate, and timely service. This position supports the fulfillment of replacement kitchen equipment requests for chain restaurants and contract customers by coordinating quotes, orders, inventory, deliveries, and installations.

The Coordinator serves as a key point of contact for Sales Representatives, customers, and manufacturer representatives, ensuring orders are processed accurately and that customers receive timely updates throughout the order lifecycle. The role requires strong organization, attention to detail, follow-through, and the ability to manage multiple requests and priorities in a fast-paced environment.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:
  • Support Sales Representatives in managing customer requests and maintaining positive customer relationships.

QUALIFICATIONS & EXPERIENCE:
  • 1 – 2 years of relevant experience, or equivalent military or practical experience.
  • Completion of CFSP Test within the first 3 years of employment; CFSP Certification preferred.
  • Proficient in Microsoft Outlook, Excel, and Word, with working knowledge of Oracle Database, JD Edwards, and Auto-Quotes system.
  • 1-2 years of experience in the foodservice/hospitality/restaurant industry.
  • 1-2 years of customer service experience, preferably in a sales support environment.
  • Ability to successfully pass a background check post offer acceptance.
