Job summary

Goldbelt, Inc. is seeking an Office Management Specialist Level II to ensure effective and productive administration for the National Museum of Natural History.

You will oversee administrative support, manage calendars, coordinate meetings, and assist with board materials and communications. The role requires strong organization, superior communication, and the ability to work with diverse internal and external stakeholders; you will represent the organization in daily interactions and support

Qualifications

  • Bachelor’s degree preferred in a museum-related field.
  • Minimum of 2 years of experience with organization leadership.
  • Comfortable with new technology and troubleshooting equipment (audio/visual and conference call).
  • Experience with project coordination and management.
  • Experience facilitating onsite exhibition work, logistics, and team coordination.
  • Excellent time management and multi-tasking abilities.

Responsibilities

  • Assemble, copy, fax, and scan materials with proper distribution.
  • Maintain logs and files; manage calendars.
  • Greet visitors and answer main office phone.
  • Prepare correspondence, letters, memos, spreadsheets, and presentations.
  • Coordinate board meetings: scheduling, packets, materials, and minutes.
  • Coordinate travel orders and authorizations; arrange travel.
  • Provide admin support during meetings with AV setup and minutes.
  • Organize workshops and meetings; maintain DAM System entries.
  • Track project timelines and deadlines; ensure milestones are met.
