Job summary

Healthy Kids Extended Day Programs is seeking a Compliance & Automation Specialist to support documentation, licensing, and compliance across multiple states. This hands-on administrator will track medical records, monitor deadlines, and maintain accurate spreadsheets and databases.

The role reports to the CEO and collaborates with Operations, Registration, HR, and other departments. It requires organization, discretion with confidential data, and the ability to follow up until issues are

Qualifications

• Organized, detail-oriented, and able to manage deadlines across departments.
• Strong follow-through and ability to coordinate across multiple teams.
• Comfort with spreadsheets and databases, data entry, and recordkeeping.
• Clear written and verbal communication and discretion with confidential info.
• Ability to work independently while collaborating with several departments.
• Willingness to learn licensing and documentation requirements across states.

Responsibilities

• Track required medical and health documentation for children across states.
• Review records for missing, incomplete, or expired docs.
• Monitor expirations and coordinate follow-up for updates.
• Organize compliance records and licensing materials for audits.
• Prepare routine compliance reports and update the CEO on items.
• Communicate with teams to obtain missing information and resolve issues.
• Escalate discrepancies to the CEO or appropriate department.
