Job summary

Healthy Kids Programs is seeking a highly organized, detail-oriented Compliance Coordinator to support documentation, licensing, and compliance activities across our growing, multi-state organization.

Reporting directly to the CEO and working with Operations, Registration, HR and other departments, this role will help ensure that required documentation and licensing information are accurate, up to date, and tracked for compliance across states.

Responsibilities

• Track required medical and health documentation for children across multiple states.
• Review records for missing, incomplete, or expired documentation.
• Monitor expiration dates and coordinate follow-up on required updates.
• Maintain accurate spreadsheets, databases, checklists, and compliance records.
• Track state-specific childcare licensing and documentation requirements.
• Monitor regulatory deadlines, renewals, and expiration dates.
• Assist with keeping internal compliance information current as requirements change.
• Organize documentation for licensing reviews, inspections, and audits.
• Track outstanding compliance items and follow up through completion.
• Prepare routine compliance reports and provide the CEO with updates on outstanding items.
• Communicate with internal teams to obtain missing information and resolve documentation issues.
• Identify discrepancies or potential compliance concerns and elevate them to the CEO or appropriate department.
• Maintain confidentiality when handling children's, family, and employee information.
• Assist with compliance projects and other related administrative duties as assigned.
