Job summary

First Choice Coffee Services is seeking a Benefits & Leave Specialist to administer employee benefit programs and manage leave of absence processes across multiple states. You will ensure compliance with federal, state, and local regulations while delivering a positive employee experience and partnering with managers and payroll.

Qualifications include 3+ years in benefits administration, strong knowledge of FMLA/ADA, and experience with HRIS (Paylocity preferred).

Qualifications

• Minimum of 3 years of experience in benefits administration and leave of absence management.
• Strong working knowledge of FMLA, ADA, and multi-state leave laws.
• Experience working with HRIS and benefits administration systems. Paylocity exp preferred.
• High attention to detail with strong organizational and follow-up skills.
• Ability to handle sensitive information with discretion and professionalism.
• Excellent communication skills and a customer-service mindset.

Responsibilities

• Administer and support company benefit programs, including medical, dental, vision, life, disability, HSA/FSA/HRA, and voluntary benefits.
• Serve as the primary point of contact for employee benefit questions, enrollments, life events, and coverage changes.
• Coordinate annual open enrollment, including employee communications, system updates, and carrier file feeds.
• Partner with payroll to ensure accurate deductions and timely updates.
• Audit benefit enrollments and resolve discrepancies.
• Administer leave of absence programs including FMLA, state paid family/medical leave, CFRA (where applicable), ADA-related leaves, workers’ compensation coordination, and company medical leaves.
• Guide employees and managers through the leave process, including eligibility, documentation, timelines, and return-to-work procedures.
• Track and maintain accurate leave records and ensure timely notices and required documentation are provided.
• Collaborate with third-party leave administrators when applicable.
• Ensure compliance with federal, state, and local employment and benefits laws across multiple states.
• Maintain accurate records in the HRIS and generate reports related to benefits and leave usage.
• Assist with audits, policy updates, and HR projects as needed.
• Support a growing, multi-state organization with evolving HR needs.
